This is not a traditional assistant role.
We are hiring a high-performance Administrative Assistant to the Founders who is obsessively organized, elite at calendar and email management, naturally proactive, and comfortable making decisions without constant supervision.
You will act as the operational backbone of the Founders’ daily lives, professionally and personally, ensuring everything runs smoothly, cleanly, and predictably.If you wait to be told what to do, avoid decision-making, or prefer slow corporate environments, this role is not for you.
Calendar & Time Management
Fully own and manage the Founders’ calendars
Schedule, move, prioritize, and protect time without asking permission every time
Enforce rules (no back-to-backs, buffers, focus time, travel days)Anticipate conflicts and solve them before they happen
Prepare daily and weekly calendar summaries
Email & Communication Management
Own inbox management completely (Inbox Zero expected)
Read, triage, respond, archive, or delete emails on behalf of the Founders
Escalate only what truly requires attention, with context and recommendations
Draft responses in the Founders’ voice
Personal Life & Task Management
Manage personal tasks, reminders, travel, appointments, and logistics
Track follow-ups and ensure nothing falls through the cracks
Plan ahead for important dates and commitments
Event Planning & Coordination
Support and help lead internal events and offsites
Research venues, vendors, logistics, timelines, and budgets
Track action items and provide clear updates and summaries
Systems & Organization
Maintain clean task management systems in Notion
Document and improve processes over time
Bring solutions, not just updates
