Construction Bookkeeper (remote & Full-time)

Fox Construction is a custom home builder based in Santa Rosa Beach, Northwest Florida. We build high-quality coastal homes and maintain a highly organized, well-documented back office.

We are seeking a Construction Bookkeeper to manage daily processing and financial documentation. This role includes coding invoices, posting AR, preparing payment runs, and drafting bank reconciliations. You will collaborate closely with our US Fractional Controller and the Owner.

This position is full-time remote, with required overlap of Monday–Friday, 8:00 AM to 4:00 PM US Central.

Job Responsibilities

Responsibilities

• Accounts Payable (AP):

• Intake bills from shared inbox

• Perform 3-way match (PO, invoice, receipt)

• Code invoices to jobs and cost codes, attach documentation

• Prepare weekly AP batches in bill-pay system (no release rights)

• Maintain vendor records (W-9/COI), flag changes for Controller verification

• Accounts Receivable (AR):

• Post receipts and apply retainage

• Send monthly statements

• Banking & Credit Cards:

• Review daily bank/credit card feeds

• Draft monthly reconciliations to $0 unreconciled

• System & Documentation:

• Maintain Buildertrend ↔ QBO sync hygiene; post approved change orders only

• File and organize documents consistently by standard naming conventions

• Compliance & Controls:

• Work only within approval workflows

• Follow vendor bank-change protocols

• No payment release rights (read-only bank data access)

• Performance Goals (First 90 Days):

• Month-end close by Day 10

• Zero duplicate bills

• 98% receipts compliance

• Vendor adds within 30 days

Job Requirements

Requirements

Experience:

• 2+ years bookkeeping experience in construction or project-based company

• 2+ years QuickBooks Online with job-costing, AP/AR

Technical Skills:

• Familiarity with AP/payment platforms (BILL, Melio, Plooto, etc.)

• Experience maintaining Buildertrend ↔ QBO sync (preferred)

• Adaptive automated financing experience is a strong plus

Other Qualifications:

• Strong English communication and documentation skills

• High attention to detail and accuracy

• Ability to work with US-based team across time zones
