Who We Are
We’re Problem Sold, a real estate investment company that buys off-market properties in multiple US markets. We are growing rapidly and the founder needs a high-level operator to run the back end.
What You’ll Be Responsible
ForCRM and System Ownership (GoHighLevel / Streamline REI):
Build automations, workflows, smartlist to maximize the efficiency of the team and the value of every lead
Optimize team calendars, tasks and phone systems for sales team effectiveness
Optimize internal dashboards for sales agents that support daily execution and KPI tracking
Optimize team communication and collaboration within the system
Build Maintain pipeline discipline, hygiene and accuracy
Maximize our use of the system to eliminate other platforms and expenses i.e. landing pages, funnels, email & SMS marketing, KPI tracking etc
Optimize landing pages, email & sms marketing, and lead channel tracking in the system
Integrate AI features to increase efficiency i.e. chat bots, phone agents, etc.
Phone System (Wavv Dialer):
Manage call logic: voicemail, transfers, forwarding, and routing
Set up and manage local presence numbers by market
Monitor call outcomes and link them to workflow triggers in the CRMEnforce A2P10DLC compliance, deliverability and DID reputation managementKPI Reporting (Power BI, Google Sheets, GHL & QuickBooks):
Maintain and update weekly KPI reports
Track lead-to-contract ratios, source attribution, cost-per-lead, etc.
Build and improve visual dashboards in Power BI & GHLIdentify breakdowns and suggest changes.
Don't just report data, interpret itMarketing Analytics:
Track and optimize Facebook, PPC, PPL, SMS,
Cold Calling and Direct Mail campaigns
Run and report on A/B tests (SMS copy, email sequences, landing pages)
Hold marketing dollars accountable to ROI.
Kill losers, scale winnersHelp roll out new marketing channels including direct mail, cold calling, TV and radio, etc
Public record data scraping for preforeclosure and probate leads
Build and help to manage property disposition marketing systems
Email & SMS blastingPosting to Facebook groupsBuild buyers listsBuild social media presence on Facebook, Instagram and YouTube
Assist owner in revamping website
Contracts and Documents (DocuSign):
Prepare and manage documents using DocuSign templates and merge fields
Ensure all signed documents are tracked, stored, and linked to correct CRM recordsG-suite management and optimization
Expert level in Google SheetsOptimize calendars & Google calendar integration to CRM
Organize google driveHR Systems:
Manage hiring pipeline inside GHLRun Indeed job postings and review resumes
Schedule interviews, attach resumes, push forward qualified hires
SOP Documentation and Ops
Building:Document every process you touchTurn chaotic workflows into clear, repeatable SOPs
Help eliminate key-man risk so we can scale with clarity and consistency
Create training resources
Must work US business hours. This is not flexible. You attend daily meetingsYou cannot work for other clients, build an agency, or freelance on the side - IF YOU HAVE OTHER PART TIME CLIENTS YOU WANT TO KEEP This is a full time career. You will not have the time or energy to perform at the level we require with divided attention. And if you put your all behind growing with this team you won’t need any other work.Fluent in English (both written and verbal)Minimum 3 years in high-level Executive VA, Ops Manager or Marketing role preferably in Wholesale Real EstateMastery of GoHighLevel, Power BI, Zapier, Investorlift, Investorbase, DocuSign, Google Suite & Google Sheets, Quickbooks and Dialer SystemsCapable of self-guided execution.
