What we’re looking for:

We are looking for a organized, detail-oriented, tech savvy virtual assistant to join our dynamic startup team. As a virtual assistant, you will support various projects, primarily focusing on administrative tasks, research, data entry, project coordination, and market research. You will play a crucial role in helping us create proformas, gather data, and manage vendor relationships and outreach.

The budget for this role will vary depending on the candidate's level of expertise, experience, and portfolio.

Job Responsibilities

  • Perform administrative tasks, including scheduling, document management, and general office duties.
  • Conduct comprehensive research and gather data for market and product analysis.
  • Research may involve watching videos, speaking with experts, gathering data, and reading to stay updated on industry trends and best practices, relaying this information to the team.
  • Assist in coordinating projects, ensuring tasks are completed on time and within scope.
  • Manage data entry tasks with high accuracy and efficiency.
  • Create and maintain spreadsheets and proformas for various business needs.
  • Communicate initially with vendors to gather information, pricing, and subsequently relay this information to the team lead for evaluation.
  • Utilize Zoom for meetings, managing logistics and troubleshooting common issues.
  • Use Slack and email for team communication and collaboration, managing channels and direct messages.
  • Create decks to effectively relay information and insights to the team.
  • Use Loom videos to communicate information clearly and concisely to the team.


Job Requirements

  • Proven experience in an administrative role, with expert-level skills.
  • Strong research abilities with a focus on market and product research.
  • Intermediate experience in project coordination and project management.
  • Expert-level data entry skills with high accuracy and attention to detail.
  • Proficiency in using productivity tools (e.g., Google Docs, Google Workspace).
  • Advanced skills in using spreadsheets (Google Sheets).
  • Experience in using project management tools (e.g., Clickup, Trello, Asana).
  • Intermediate proficiency in using Zoom for meetings and managing logistics.
  • Intermediate proficiency in using Slack for team communication and collaboration.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks simultaneously and work independently.
  • Strong organizational and time management skills.
  • High level of discretion and confidentiality.
  • Ability to gather and relay information effectively to the team.
  • Experience in creating presentation decks to convey information.
  • Familiarity with using Loom or similar video tools to communicate information.
