Job Summary

The Remote Dispatch / Admin Support role is a flexible, work-from-home position focused on coordinating dispatch activities, maintaining communication with drivers, and performing administrative tasks to support logistics operations. This role is essential to ensuring smooth, efficient service, timely deliveries, and excellent customer support.


Job Responsibilities

Key Responsibilities

Dispatching and Coordination

  • Schedule and coordinate dispatch activities to ensure timely delivery and pickups, managing schedules remotely.
  • Communicate in real time with drivers through phone, messaging apps, or dispatch software, tracking delivery status and resolving any issues.
  • Work with the warehouse and logistics team virtually to ensure items are prepared, loaded, and dispatched on schedule.
  • Prioritize tasks based on delivery schedules, deadlines, and customer needs, adjusting dispatch plans as necessary.
  • Proactively communicate delivery schedule changes or delays to clients and relevant team members.

Administrative Support

  • Maintain accurate and up-to-date dispatch logs, including driver hours, mileage, and delivery records using cloud-based tools.
  • Handle incoming virtual communications (calls, emails, chat) from clients and internal teams, addressing questions and providing necessary information.
  • Prepare, process, and digitally file necessary paperwork for shipments, deliveries, and returns.
  • Support warehouse inventory management by updating online records, including shipment statuses and returned items.

Customer Service

  • Respond to customer inquiries related to dispatch and delivery schedules, providing timely, accurate responses.
  • Inform clients of delivery times, potential delays, or dispatch-related issues in a clear and professional manner.
  • Handle customer complaints or feedback promptly, relaying relevant information to appropriate departments.

General Office Support

  • Perform data entry, digital document management, and other administrative duties remotely.
  • Update inventory records in the system as needed, ensuring availability of accurate stock information for the dispatch team.
  • Collaborate remotely with sales, customer service, and warehouse teams to ensure customer needs are met efficiently.


Job Requirements

Qualifications

  • High school diploma or equivalent; additional education or relevant certifications are a plus.
  • Previous experience in dispatch, logistics, or remote administrative support is preferred.
  • Strong proficiency in cloud-based tools, including Microsoft Office Suite (Excel, Word, Outlook) and dispatch or logistics software.
  • Excellent communication skills and an ability to manage multiple tasks in a fast-paced, remote environment.
  • Strong organizational skills, attention to detail, and problem-solving abilities.
  • Ability to work independently and self-manage in a remote setting.

Work Environment

  • This is a fully remote role, with all work conducted from home or a suitable remote environment.
  • Requires a stable internet connection and a quiet workspace.
  • Work may involve some flexibility in hours to accommodate varying delivery schedules.
