Job Description:

We are seeking a motivated and detail-oriented individual to join our team as a Virtual Receptionist. As the first point of contact for our clients, you will play a crucial role in delivering exceptional customer service and ensuring a positive experience for all callers.

Responsibilities:

  1. Answering Calls: Professionally handle incoming calls from clients, prospects, and other stakeholders, providing information, assistance, and routing calls as necessary.
  2. Greeting Visitors: Welcome and assist visitors to our virtual office, ensuring they are directed to the appropriate department or individual.
  3. Managing Correspondence: Respond promptly to emails, online inquiries, and other forms of communication, demonstrating excellent written and verbal communication skills.
  4. Appointment Scheduling: Efficiently schedule appointments for clients and agents, maintaining accuracy and confidentiality in all scheduling activities.
  5. Database Management: Maintain and update client information in our database, ensuring accuracy and completeness of records.
  6. Providing Information: Effectively communicate information about our insurance products, services, and policies to clients and prospects, assisting them in making informed decisions.
  7. Administrative Support: Assist with various administrative tasks such as filing, scanning, and data entry to support the smooth operation of the office.
  8. Adherence to Policies: Adhere to company policies, procedures, and confidentiality guidelines in all interactions and transactions.
  9. Continuous Improvement: Proactively seek opportunities for process improvement and contribute ideas to enhance the efficiency and effectiveness of receptionist duties.



Job Responsibilities

  1. Answering Calls: Respond promptly and courteously to incoming calls, transferring them to the appropriate department or individual within the agency.
  2. Screening Calls: Determine the nature and urgency of calls, filtering out sales calls or irrelevant inquiries while prioritizing important ones.
  3. Taking Messages: Accurately record and relay messages to the relevant staff members, ensuring important information is communicated promptly.
  4. Scheduling Appointments: Manage calendars and schedule appointments for clients to meet with insurance agents or advisors.
  5. Handling Inquiries: Provide basic information about insurance products, coverage, and services offered by the agency.
  6. Assisting with Claims: Direct clients to the appropriate channels for filing claims and provide guidance on the claims process.
  7. Managing Correspondence: Respond to emails and other forms of electronic communication in a timely and professional manner.
  8. Data Entry: Input client information, policy details, and other relevant data into the agency's database or CRM system accurately.
  9. Maintaining Records: Keep records of client interactions, transactions, and inquiries for future reference and follow-up.
  10. Providing Support: Assist clients with basic troubleshooting and technical support for online portals or digital services offered by the agency.



Job Requirements

  1. Excellent Communication Skills: Strong verbal and written communication skills are essential for effectively interacting with clients and colleagues.
  2. Customer Service Experience: Prior experience in customer service or a similar role, preferably in the insurance industry, is highly desirable.
  3. Organizational Skills: Ability to manage multiple tasks simultaneously, prioritize work, and maintain attention to detail.
  4. Tech-Savvy: Proficiency with computer systems, office software, and virtual communication tools is necessary for this remote position.
  5. Knowledge of Insurance Products: Familiarity with insurance terminology, policies, and procedures will facilitate effective communication with clients.
  6. Problem-Solving Skills: Capability to resolve client inquiries and issues independently or escalate them to the appropriate personnel for resolution.
