We are seeking a highly organized, detail-oriented, and experienced Director of Operations to join our dynamic startup team. As the Director of Operations, you will oversee the day-to-day operations, streamline processes, and ensure the efficient functioning of our business. You will also be responsible for hiring, training, and managing operational staff, playing a crucial role in supporting our growth and success.

  • Oversee and manage day-to-day operations, ensuring efficiency and effectiveness.
  • Develop and implement operational policies, procedures, and quality measures.
  • Hire, train, and manage operational staff, fostering a positive work environment.
  • Conduct research and gather data for market and product analysis.
  • Coordinate projects, ensuring timely and within-scope completion.
  • Manage the team for data entry, spreadsheets, and proformas with high accuracy.
  • Communicate with vendors for information, pricing, and evaluation.
  • Develop and manage budgets, track expenses, and ensure financial efficiency.
  • Utilize Zoom for meetings and manage logistics.
  • Use Slack and email for team communication and collaboration.
  • Create decks and Loom videos to relay information clearly to the team.
  • Monitor and analyze KPIs to drive continuous improvement.
  • Ensure facility maintenance and safety, coordinating with vendors.
  • Help assist in strategic planning, goal setting, and problem-solving.
  • Participate in P&L reviews and manage financials.
  • Motivate, guide, and mentor a high-performance team.
  • Oversee all operational staff and provide guidance on projects and initiatives.
  • Lead annual budget development and financial analysis.
  • Identify opportunities to improve processes, tools, and technology.
  • Support decision-making with data, analytics and insights

  • Proven experience in an operations and management role.
  • Strong leadership and team management abilities.
  • Experience in hiring, training, and managing staff.
  • Strong research abilities with a focus on market and product research.
  • Intermediate experience in project coordination and project management.
  • Proficient in data entry with high accuracy.
  • Proficient in using productivity tools (e.g., Google Docs, Google Workspace).
  • Advanced skills in using spreadsheets (Google Sheets).
  • Experience with project management tools (e.g., Clickup, Trello, Asana).
  • Proficient in using Zoom for meetings and managing logistics.
  • Proficient in using Slack for team communication and collaboration.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks simultaneously and work independently.
  • Strong organizational and time management skills.
  • High level of discretion and confidentiality.
  • Ability to gather and relay information effectively to the team.
  • Experience in creating presentation decks to convey information.
  • Familiarity with using Loom or similar video tools to communicate information.
  • Experience with financial management, including budgeting and expense tracking.
  • Ability to adapt and solve problems in a dynamic and changing environment.
  • Ability to read, analyze, and interpret business periodicals, journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from managers, clients, customers, and the public.
  • Experience working in a startup environment.
  • Ability to solve practical problems and deal with a variety of variables in situations with limited standardization.
  • Ability to interpret various instructions furnished in written, oral, diagram, or schedule form.
  • Ability to work with routine and/or repetitive activities but also respond to disruption and change.
  • Effective multi-tasking and organization.
  • Thrives in a dynamic environment and easily acclimates to changes in process/systems for overall improvement of the organization.
  • Clear communication, both written and verbal, with proper grammar and spelling.

Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field (preferred).
  • Five to seven years’ experience in operations management or a similar role.
  • Three to five years’ managerial experience leading teams.
  • Strong leadership, communication, and organizational skills.
  • Ability to thrive in a demanding environment and manage multiple tasks effectively.
