Full Job Description

We are seeking a meticulous and proactive Legal Administrative Assistant to join our law firm. You will play a pivotal role in managing incoming client inquiries, gathering critical information, and ensuring seamless processes within our legal practice. Your ability to communicate effectively, organize case details, and provide exceptional client service will be essential in this role.


Job Responsibilities

Client Intake

  • Receive and process incoming inquiries, consultations, and case requests.
  • Collect relevant information from clients, ensuring accuracy and confidentiality.
  • Handle sensitive legal data with utmost discretion.

Documentation and Case Management:

  • Create and maintain client profiles in our case management system.
  • Accurately input case-related data, including key dates, parties involved, and case specifics.
  • Organize and manage electronic and physical case files.

Client Communication

  • Communicate with clients via phone, email, or in-person to gather necessary details.
  • Schedule initial consultations and follow-up meetings.
  • Provide exceptional client service, addressing inquiries promptly.

Collaboration

  • Work closely with attorneys, paralegals, and other administrative staff.
  • Assist with scheduling, calendar management, and coordination of legal meetings.


Job Requirements

  • High school diploma or equivalent; associate’s degree preferred.
  • Proven experience as a legal administrative assistant or intake specialist.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills (both written and verbal).
  • Proficiency in legal software and Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to manage multiple tasks and prioritize effectively.
  • Familiarity with legal terminology and procedures (preferred but not required).
