Are you a winner? Are you a get sh!t DONE. Ever been around business builders? I am building a dynasty team of business managers. I am seeking a dynamic and highly skilled Executive Assistant and Strategic Coordinator to join our diverse and global team. You'll work directly with me, an experienced entrepreneur with a background spanning various industries such as real estate, finance, and private equity. I need someone who can be an integrator of my vision and co-manage projects with me.

This role requires a proactive individual who can become a critical part of our organization, taking on and leading projects, developing routines, and contributing to building a robust business infrastructure.

This is a full-time position, working U.S. hours (8 a.m. to 5 p.m. ET), and requires a high level of integration with our team. You'll work hand in hand with our team and our current chief of staff in the Philipines. She's been with our team for a year and a half and will be able to accomplish things overnight for us. This is a starting point in our organization as we scale, build and launch new endeavors... You'll have plenty of room to develop a defined role as a leader in our organization.

I don't have a budget in mind for salary (paid bi-weekly) so depending on your skills, experience, energy, and how interview and your opening asking price I'm flexible. Show me your worth.


Job Responsibilities

  • Co-managed and organized the CEO’s to-do list and calendar, ensuring efficient time management and task delegation.
  • Assist in the delegation of tasks and projects across the team.
  • Act as a second brain to the CEO, providing strategic insights and helping to prioritize tasks and initiatives.
  • Take on and lead various projects, ensuring they are completed on time and to the highest standard.
  • Develop and implement routines and processes to improve organizational efficiency.
  • Create, maintain, and optimize Standard Operating Procedures (SOPs) and documentation to streamline hiring and onboarding processes.
  • Utilize Microsoft Office 365, Microsoft Teams, Word, Excel, PowerPoint, Canva, Adobe, Firefly's Notetaker, Monday.com, and other tools to manage tasks and projects effectively.
  • Collaborate with global team members, ensuring smooth communication and project execution.
  • Be proactive in identifying and solving problems, and take initiative in all aspects of the role.

Accountability:

  • Ensure the CEO’s tasks and calendar are managed efficiently and effectively.
  • Successfully delegate and manage tasks and projects across the team.
  • Provide strategic support and insights to the CEO.
  • Lead and complete projects on time and to a high standard.
  • Develop and implement routines and processes that enhance organizational efficiency.
  • Maintain up-to-date and effective SOPs and documentation.
  • Foster effective communication and collaboration within the global team.

Job Requirements

Requirements:

  • Proven experience as an Executive Assistant, Chief of Staff, or similar role in a dynamic and fast-paced environment.
  • Exceptional organizational and multitasking skills, with the ability to manage multiple priorities simultaneously.
  • Strong strategic thinking and problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office 365, Microsoft Teams, Word, Excel, PowerPoint, Canva, Adobe, Firefly's Notetaker, and Monday.com.
  • Ability to work U.S. hours (8 a.m. to 5 p.m. CT) and integrate fully with the team.
  • Experience in developing and optimizing SOPs and documentation.
  • High level of discretion and confidentiality.
  • Bonus if you have finance background
