Dispatch Manager

Today Heating & Air is looking for a Dispatch Manager to join our team. This person will be the first point of contact for our customers, coordinating service calls, scheduling technicians efficiently, and ensuring a smooth day-to-day operation. This role requires someone who is organized, communicates clearly, and can think a few steps ahead to keep everything running smoothly.

Position Summary:

The Dispatch Manager is responsible for handling inbound service calls, scheduling jobs, and coordinating with technicians and customers. You’ll ensure appointments are booked efficiently, adjust schedules as needed, and help keep our team operating at its best.

Desired Qualifications

  • Previous dispatch, scheduling, or customer service experience.
  • Experience in HVAC, plumbing, electrical, or similar trades is a plus.
  • Ability to stay calm under pressure and problem-solve on the fly.

Job Responsibilities

  • Answer incoming calls from customers and schedule service appointments.
  • Communicate with technicians to ensure they are on time and prepared for each job.
  • Adjust schedules as needed when jobs run long, emergencies arise, or priorities shift.
  • Keep clear, accurate records of calls, service appointments, and job details.
  • Provide updates to homeowners and tenants on technician arrival times.
  • Maintain a friendly, professional tone with customers and team members.


Job Requirements

  • Strong customer service and phone communication skills.
  • Ability to prioritize and adjust schedules in real-time.
  • Experience using dispatching or scheduling software (or ability to learn quickly).
  • Organized with attention to detail—keeping track of job details and technician availability.
