What You'll Do

We're seeking an exceptional Executive Assistant who thrives on transforming chaos into clarity through smart systems and automation - workflow automation. This isn't a traditional EA role – the goal is to have you do a task twice, and then you automate it.

Core Responsibilities:

  • Transform chaotic inboxes into streamlined communication systems
  • Gather and analyze relevant data to support executive decision-making
  • Coordinate stakeholders seamlessly across time zones, stakeholders, and competing priorities
  • Build dashboards and reporting systems that surface actionable insights
  • Create comprehensive SOPs that turn one-off tasks into repeatable processes
  • Design and implement automated workflows that eliminate repetitive tasks

You’re a good fit if: You'll start tasks immediately (not tomorrow, not later - now). You'll define "done" before starting. You'll close every loop without being asked. You'll stay two steps ahead.

What Makes You Exceptional

Must-Haves:

  • 3+ years in operations, administration, or client-facing roles (startup experience preferred)
  • Near-native English proficiency with proven ability to communicate via video/written formats
  • Technical proficiency: Zapier/n8n, Claude/ChatGPT, Notion, Slack, Loom, Google Suite
  • Demonstrated impact through process automation (with metrics to prove it)
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines
  • US timezone availability and comfort with confidential information
