Full Job Description

We are a boutique medical practice in Los Angeles, US, specializing in hormones, weight loss, and gut health. We are seeking a virtual front desk assistant with experience working remotely. Our customers are 100% US-based, and your proficiency in English should be fluent or native.

  • Schedule: Monday to Friday, 9:30 AM to 6:00 PM (30-minute midday break)

The front desk assistant is responsible for the following:

For monitoring and responding to various communication channels:

  • Text messages
  • Faxes
  • Phone calls/voicemails
  • Emails
  • Prescription refills
  • Outstanding issues are summarized and tracked on Google Drive.

You will schedule patients for four providers, including a doctor, two health coaches, and a nurse.


Job Responsibilities

New Patient Restrictions & Approval Process:

PerrinMD specializes in specific services:

  • Hormones for men and women. We do not see female hormone patients under 35 and no PCOS patients.
  • Weight Loss
  • Gut Health
  • Regenerative/stem cell medicine
  • Any potential new patient who wants to book for services not listed above must be approved by Dr. Perrin.

Record Keeping and Tracking:

  • The "TO DO TEAMWORK" spreadsheet in Google Drive serves as the central location for tracking:
  • Outstanding issues from communication channels (Klara, faxes, phone, emails, prescription refills).
  • Longer schedule changes (cancellations/rescheduling over four weeks out).
  • Dr. Perrin will review the spreadsheet daily.

Prescription Refills:

  • You must confirm the pharmacy, the name of the med, and the dose.
  • You must also go back to the prior encounter note to ensure that the dose matches what was recommended.

Supplements Refills / Shipments:

  • Add the patient’s name and the supplement that needs to be shipped. Confirm the shipping address.


Job Requirements

  • Fluent English speaker with a professional and pleasant phone demeanor
  • Reliable internet access
  • Adherence to health record privacy rules
  • Moderate proficiency in emailing, texting, and answering calls
  • Proficiency with word processing and spreadsheet software
  • Familiarity with electronic medical records (EMR) systems
  • Reliable internet connection and computer equipment
  • The ability to provide the absolute best customer service experience to our clients
  • The most important aspects of the job are timely coordination and communication
