Job Description:
Position Overview:
As an Accounts Receivable Clerk at ICANotes, you will play a crucial role in managing the company's financial transactions and ensuring timely collections. You will work closely with the finance team to maintain accurate financial records and assist in maintaining a healthy cash flow.
Key Responsibilities:
Invoicing and Billing:
Generate and send out invoices to clients accurately and in a timely manner.
Verify invoice accuracy, ensuring all necessary information is included.
Address client inquiries related to invoices and resolve billing discrepancies.
Payment Processing:
Record all received payments, including checks, credit card payments, and electronic transfers.
Reconcile payments with invoices and ensure accurate posting to customer accounts.
Process and deposit checks in a timely manner.
Collections:
Monitor accounts receivable aging reports and follow up on overdue accounts.
Communicate with clients via phone, email, or mail to secure payment.
Maintain a professional and empathetic approach when dealing with clients experiencing financial difficulties.
Account Reconciliation:
Regularly reconcile customer accounts to ensure accuracy.
Investigate and resolve discrepancies or issues in a timely manner.
Reporting:
Generate and analyze accounts receivable reports to track collections and identify trends.
Provide regular updates to the finance team on outstanding invoices and collection efforts.
Documentation and Record Keeping:
Maintain organized and up-to-date records of customer invoices, payments, and correspondence.
Ensure compliance with company policies and industry regulations.
Qualifications:
High school diploma or equivalent; associate's degree or relevant certification in accounting or finance is a plus.
Proven experience (1-3 years) as an Accounts Receivable Clerk or in a similar role.
Strong attention to detail and accuracy in data entry.
Excellent communication and customer service skills.
Proficiency in using accounting software and Microsoft Office Suite (particularly Excel).
Familiarity with accounts receivable processes and procedures.
Ability to work independently and as part of a team.
Strong organizational and time-management skills.
Knowledge of healthcare billing or EHR systems is a plus but not required.
