The Virtual Assistant (VA) is a highly driven, detail-oriented individual committed to efficiency, organization, problem solving and communication. They are dependable, solution-focused, and display excellent professional judgment. The Virtual Assistant manages multiple complex and time-bound processes simultaneously while effectively problem-solving the challenges that arise with minimal direction from management. They feel comfortable taking initiative and attempting new solutions when circumstances differ from their training. As the primary data entry specialist for our transactions, they also maintain superior levels of accuracy and timeliness in their task completion.
The Virtual Assistant is deeply committed to supporting the Operations team in achieving greater levels of success, and to growing their own skill set within the team. They are always looking for new ways to perfect our processes and improve
our clients’ experience. The VA understands no two transactions are the same and so their goal is to attain a holistic comprehension of the processes they oversee and understand the interconnected nature of the tasks so they will be able to anticipate issues before they escalate and adapt to irregularities that arise. This position is full-time (8:00 am-5:00 pm CST, Monday-Friday) to be performed virtually.
Job Responsibilities
● Accurately collect, maintain, and record file data across multiple platforms (Brivity, MLS, G-Suite, etc.)
● Maintain up-to-date task completion list in Brivity
● Enter listing data and marketing materials into MLS
● Partner closely with Director of Operations to execute complex process lists for multiple 30+ properties simultaneously
● Communicate effectively via email, phone, and text with appropriate stakeholders; clients, vendors, collaborators, etc.
● Complete various administrative and support tasks as directed by Director of Operations
● Coordinate and schedule events involving multiple parties, including photographs, inspections, appraisals, closings, etc.
● Execute all Blackstone & Company processes in accordance with training

● Exceptional organizational and project management abilities

● Technologically savvy and able to learn new programs quickly; proficient in Word, Excel, PowerPoint, Brivity, and G-Suite

● Demonstrated ability to adapt existing processes to unique circumstances
● Track record of taking initiative without direct supervision
● Strong written communication skills
● Dedication to providing the highest level of service to our team
Job Requirements and Preferred Experience
● High school graduate
● 3+ years of office experience
● Bachelor’s degree preferred
● Real estate license preferred
