About the Role
We are seeking a detail-oriented Dispositions Administrative Coordinator to support our land development and flipping business. This role is crucial in managing property listings, growing and nurturing our buyer database, and optimizing our sales process.
You will be responsible for handling buyer inquiries, maintaining property listings across multiple platforms, and ensuring a smooth transaction pipeline.
This position is ideal for a highly organized, coachable, and proactive individual with strong CRM skills and a passion for operational efficiency. Growth opportunities include transitioning into a senior pipeline management position.
Primary Objectives
• Expand and manage our buyer’s list to increase deal flow
• Handle initial lead response, qualification, and engagement
• Set up and coordinate property showings
• Manage property listings across multiple platforms and ensure accuracy
• Optimize the sales pipeline to improve deal velocity and close rates
• Track and manage key performance indicators
Qualifications
• Strong organizational skills and attention to detail
• Experience with CRM systems (Follow Up Boss preferred)
• Excellent written and verbal communication skills
• Incredibly detail-oriented
• Proficiency with Microsoft Office Suite, Google Workspace, and data management tools
• Ability to multitask, prioritize tasks, and work independently in a fast-paced environment
Nice-to-Haves
• Experience in real estate transactions or land development
• Familiarity with DocuSign or similar contract management tools
• Background in sales operations, revenue operations, or lead generation
• Experience with automation tools, A/B testing, and data analysis
Key Responsibilities
Lead Management & Buyer Engagement
• Provide quick response to incoming buyer inquiries (speed to lead) on Facebook
• Create and optimize listings on Facebook
• Capture and update buyer contact information and preferences
• Enter leads into Follow Up Boss (CRM) and initiate automated follow-ups
• Maintain organized buyer records and track engagement through CRM tools
Property Listing & Marketing Management
• List properties on Facebook Marketplace, Land.com, LOA network, and other platforms
• Refresh Facebook Marketplace listings every two weeks for increased visibility
• Maintain accurate property information, including pricing, zoning, financing, and accessibility details
• Add property information to email blasts of our buyers list
• Answer basic property questions to qualify buyers and move them through the pipeline
• Track listing performance, A/B test descriptions, and optimize marketing materials to increase lead generation

• Manage and maintain Follow Up Boss CRM for data accuracy and lead organization
• Process new leads, organize call transcripts, and document property details
• Implement automated drip campaigns and track response rates to improve buyer engagement
• Track key performance indicators (KPIs) to measure marketing and sales effectiveness
Sales & Transaction Coordination
• Schedule and confirm property showings with interested buyers
• Coordinate with the dispositions team to streamline the closing process
• Identify bottlenecks in the sales process and propose solutions to improve efficiency
• Assist in offer negotiations, ensuring clear communication between buyers and the team
KPI Management
• Manage key KPIs on a weekly basis to provide to leadership team
• Work with the Dispositions Associate and Manager to track relevant KPIs
