Virtual Assistant – Event Coordination & Marketing Support

Magic Mirror of New England is seeking a highly organized and creative Virtual Assistant to support our team with client communications, event coordination, and digital marketing. This is a full-time remote role with some flexibillity with scheduling.

Key Responsibilities:

  • Communicate with clients via email to coordinate event details and timelines
  • Customize and manage photo overlay templates for upcoming events
  • Create and schedule email campaigns to promote services and client engagement
  • Post regularly on social media platforms to highlight events and showcase offerings
  • Assist in developing marketing content and campaigns to drive brand awareness and bookings
  • CRM Management

Ideal Candidate:

  • Strong written communication and organizational skills
  • Proficient in Canva, email marketing platforms (like Mailchimp or Engagebay), and social media tools
  • Detail-oriented with a creative eye for design and branding
  • Comfortable managing multiple tasks and timelines
  • Experience in events, photography, or digital media is a plus

Job Responsibilities

Daily Responsibilities:

  • Respond to client emails and inquiries
  • Update and manage event details in booking system
  • Coordinate photo overlay designs and approvals
  • Communicate graphic design edits with clients regarding revisions
  • Monitor and respond to social media messages and comments

Weekly Responsibilities:

  • Schedule and post content on Instagram, Facebook, LinkedIn and TikTok
  • Create and send client reminder emails for upcoming events
  • Check event files and confirm event logistics with clients
  • Track pending payments and follow up as needed
  • Support with uploading event galleries and sending client links

Monthly Responsibilities:

  • Design and send marketing email campaigns (newsletters, promotions)
  • Review and update templates in Canva for social media and overlays
  • Report on social media and email performance metrics
  • Assist in planning content calendars for the upcoming month
  • Help prepare digital content for seasonal campaigns and holiday promotions


Job Requirements

Qualifications:

  • Prior experience as a Virtual Assistant, Administrative Assistant, or in a client-facing/event coordination role (preferred)
  • Strong written and verbal communication skills
  • Basic graphic design experience (Canva or similar platforms)
  • Familiarity with email marketing platforms (like Mailchimp, EngageBay, or similar)
  • Social media experience (Instagram, Facebook, LinkedIn, TikTok – posting, scheduling, basic engagement)
  • Comfortable working independently and managing multiple tasks
  • Available to work full-time with flexible hours; some tasks may require quick turnarounds

Skills:

  • Highly organized with attention to detail
  • Strong time management and ability to prioritize daily and weekly tasks
  • Proactive communicator with a customer-first mindset
  • Tech-savvy – able to navigate booking software, design tools, Google Drive, and task management tools
  • Creative eye for photo overlay design, branding, and social media content
  • Problem-solving skills and the ability to adapt quickly in a fast-paced event environment
  • Reliable to show up for work and reliable internet connection and access to a computer for remote work
