Full Job Description

I am a busy wedding videography business looking for a highly organized and motivated Virtual Assistant to join my team!

As a Virtual Assistant, you will help manage the day-to-day operations, allowing me to focus on delivering high-quality content to my clients.

You’ll be a key support system in keeping things running smoothly by assisting with administrative tasks, client communications, scheduling, and other important areas.


Job Responsibilities

  • Client Communication: Respond to emails and messages in a timely and professional manner, including inquiries and follow-ups.
  • Scheduling: Manage and coordinate appointments, including booking calls and consultations with clients.
  • Database Management: Maintain and update client files, forms, and contracts.
  • Social Media Support: Assist with managing social media accounts by scheduling posts and monitoring engagement.
  • Lead Generation: Help screen leads through surveys and onboard new clients.
  • Project Management: Track project timelines and keep clients updated on their photo/video progress.
  • Administrative Support: Provide general administrative assistance, including handling inquiries, data entry, and organizing workflows.
  • Occasional Research: Assist with researching potential clients, wedding trends, and vendors when needed.
  • Some Photo/Video Editing: Depending on work load, maybe some lite photo/video organization and editing (preferred but not required)


Job Requirements

Experience: Previous experience in a virtual assistant role, especially within the wedding or creative industry, is preferred but not mandatory.

Skills:

  • Strong communication and organizational skills.
  • Proficient with Go High Level (CRM) and social media management tools.
  • Comfortable with task management and CRM systems and Adobe Lightroom & Premiere
  • Basic understanding of wedding industry terminology and timelines is a plus.

Work Ethic: Ability to work independently, manage time efficiently, and meet deadlines.

Availability: Flexible hours, but must be able to commit to regular check-ins and respond quickly during business hours.

Personality: Friendly, proactive, and detail-oriented, with a passion for helping small businesses succeed.
