We are seeking a detail‑oriented, proactive Virtual Medical Assistant to support our clinicians and administrative operations from a remote setting. The ideal candidate will have strong knowledge of medical terminology, experience in healthcare administration, and the ability to work independently while maintaining a high degree of accuracy, confidentiality, and patient care.
Key Responsibilities Administrative / Operational Support Manage the clinician(s)’ calendar: schedule, reschedule, cancel appointments, and send reminders Triage incoming calls and messages, route to appropriate team members Respond to patient inquiries (phone, email, chat) in a timely, professional manner Maintain and update electronic health records (EHR), patient charts, and files Order referrals, coordinate with specialists and labs, follow up on test results Assist with prior authorizations, insurance verifications, and claims support Transcribe clinical notes, medical documentation, and provider dictations Create and format medical reports, letters, and correspondence Monitor EHR inboxes and support providers with message queues Support billing tasks: entering charges, claims submission, claims follow-up, and appeals Send patient follow‑ups, check progress, and schedule additional care as needed Maintain compliance with HIPAA and other privacy/security regulations Collaboration & Communication Work closely with clinical staff, physicians, and other team members on care coordination Liaise with external entities (labs, pharmacies, imaging centers, insurance companies)Attend virtual team meetings, training, and case reviews Provide status updates and escalate issues when necessary
Required
Minimum 1–2 years experience in a medical assistant, clinical, or remote healthcare administrative role
Able to speak, read and write in English well.
Strong understanding of medical terminology, anatomy, physiology
Proficiency working with EHR / EMR systems (e.g. Athena, Epic, Practice Fusion, Kareo, etc.)
Experience with medical billing, coding, insurance claims, and prior authorizations
Excellent written and verbal communication skills
High level of organization, attention to detail, and ability to multitask
Strong computer skills (Microsoft Office, Google Suite, secure communication tools, telehealth platforms)
Reliable high-speed internet, computer or laptop, secure workspace
Understanding of HIPAA and health data privacy principles
Ability to work independently with minimal supervision
Preferred
Formal medical assistant certification or related healthcare credential
Experience in a telehealth or virtual care environment
Familiarity with telehealth software and virtual visit workflows
Prior experience with medical transcription or scribing
Knowledge of clinical workflows (e.g. lab orders, referrals, medication refill protocols)
