New Patient Specialist & Administrative Support

Full Job Description

In this position, you will interact directly with patients, physician offices and coworkers to create a positive patient experience. You will schedule patients, accurately enter data into our Electronic Medical Record system, provide excellent customer service and complete regular tasks. You must be detail oriented, customer service based, flexible, and have a positive attitude.Tasks include but are not limited to:

• Answering inbound calls from the general public
• Converting leads to new patients
• Scheduling out appointments 
• Collecting information over the phone and accurately inputting it into the EMR
• Outbound calls to patients and other physician offices 
• Accurately and efficiently entering data into multiple systems
• Daily/weekly billing and administrative tasks as assigned 

You will use the following tools:

• Prompt (EMR)
• RingCentral - phone system and instant messaging with teammates
• Google Suites - Gmail, GoogleDocs, GoogleSheets
• ReminderCall - used for SMS texting with patients
• CardPointe 

Job Responsibilities

Perform day-to-day administrative functions including answering phones responding to emails and data entry

Make outbound sales calls to prospective patients to introduce our physical therapy services

Schedule appointments for patients to meet with our physical therapists

Use our EMR system to track and manage patient information and appointments

Communicate with patients via phone and email to confirm appointments and provide additional information

Problem-solving and conflict resolution skills

Experience with managing and coordinating multiple schedules 

Providing timely communication 

Comforting patients by anticipating patients' anxieties; answering patient questions 

Maintaining patient accounts by obtaining, recording, and updating personal information 

Communicating with physicians’ offices to obtain scripts in timely manner according to compliance

Job Requirements

Must speak English clearly and fluently with excellent written communication skills

Passion for helping patients and promoting physical therapy services

Experience with Google mail, docs and sheets

Must be available during EST Hours

High school diploma or equivalent required, college degree preferred

3+ years of experience in outbound sales, preferably in healthcare or related field

Proficient in using Electronic Medical Records (EMR) software

Ability to work independently and as part of a team

Strong organizational and time management skills

Ability to multitask and handle multiple priorities in a fast-paced environment
