Remote Administrative Assistant for a Busy Window Cleaning Company in Texas

Full Job Description

Working closely with Jessica to take on data entry tasks  as well as handling customer service tasks such as answering phones and/or email, and returning phones calls to leads that request a quote to be visited by Jessica.  Some cold-calling, or cold-emailing may be required, to follow up on past cold leads, or to schedule past customers that have not been serviced in a while.  

Job Responsibilities

• Answering incoming customer phone calls in a friendly and professional manner as the first point of contact with Big Tex Pro Wash
• Responding to customer text messages, emails, and online inquiries
• Helping new customers understand our services and guiding them through the next steps
• Scheduling appointments and keeping the company calendar organized
• Entering and maintaining accurate customer information in our CRM
• Following up with leads, estimates, and existing customers
• Communicating scheduling information and updates to customers
• Supporting our field team with accurate customer and job information
• Completing routine administrative tasks
• Following established systems, scripts, checklists, and processes
• Identifying small details or potential problems before they become bigger problems
• Helping us continually improve the customer experience

Job Requirements

• You have excellent spoken and written English
• You can comfortably hold natural, professional conversations with customers in the United States
• You have strong computer skills and can learn new software quickly
• You are highly organized and pay close attention to details
• You have a friendly, patient, and service-minded personality
• You are comfortable making and receiving customer phone calls
• You are dependable and consistently show up when scheduled
• You can work independently without constant supervision
• You are comfortable receiving coaching and constructive feedback
• You have a quiet, professional workspace where you can make customer calls without distracting background noise
• You have a reliable computer and headset suitable for professional customer calls
• You have reliable high-speed internet
• You have a reasonable backup plan for occasional internet or power interruptions
• You can reliably work during the required schedule based on U.S. Central Time
• You are willing to follow established scripts, systems, and processes while still allowing your personality to come through

Previous customer service, administrative, virtual assistant, call center, scheduling, or sales experience is helpful, but we care just as much about your attitude, communication skills, reliability, and ability to learn.

We aren't looking for someone who simply wants another remote job.
