Accounting Associate

Full Job Description

Muscular Moving Men is seeking a detail-oriented, dependable Accounting Associate to support the day-to-day financial operations of our growing organization.

This position will be responsible for key accounting functions including accounts payable, accounts receivable, billing, payment processing, account reconciliation, and financial recordkeeping. 

The Accounting Associate will also work directly with customers and internal departments to research billing questions, resolve account discrepancies, and professionally handle escalated customer situations.

The ideal candidate is organized, comfortable working with numbers and technology, and capable of balancing accuracy with urgency in a fast-moving operational environment.

Job Responsibilities

Accounts Payable & Billing

• Manage invoices and vendor payments through Bill.com
• Review invoices for accuracy, approvals, coding, and proper documentation
• Maintain accurate vendor records and payment schedules
• Research and resolve vendor billing discrepancies
• Assist with expense tracking and account reconciliation

Accounts Receivable

• Generate and process customer invoices
• Monitor outstanding receivables and account balances
• Follow up professionally on past-due accounts
• Apply and reconcile customer payments
• Research payment discrepancies, credits, refunds, and adjustments
• Maintain accurate documentation related to customer accounts

Customer Escalations

• Serve as an accounting resource for escalated billing and payment concerns
• Communicate clearly and professionally with customers regarding charges, balances, refunds, or account discrepancies
• Research issues across accounting and operational systems before providing resolution
• Partner with Operations, Sales, Customer Service, and leadership when an issue requires cross-department involvement
• Maintain professionalism and sound judgment during difficult conversations

Financial Administration & Reporting

• Maintain accurate financial records in QuickBooks
• Assist with bank, credit card, and account reconciliations
• Use Microsoft Excel to organize, analyze, and reconcile financial information
• Prepare basic spreadsheets, reports, and financial summaries
• Identify discrepancies and bring unusual transactions or trends to management’s attention
• Maintain organized digital records and supporting documentation

Job Requirements

Previous experience in accounting, bookkeeping, accounts payable, accounts receivable, or a related financial role

Working knowledge of QuickBooks

Experience with an accounts-payable platform strongly preferred

Proficiency in Microsoft Excel, including formulas, filtering, sorting, and working with financial data

Strong mathematical and analytical skills

High attention to detail and accuracy

Strong organizational and time-management skills

Comfortable managing multiple priorities and deadlines

Strong written and verbal communication skills

Ability to professionally handle escalated customer situations

Ability to maintain confidentiality when working with financial and customer information
