Client Overview:
We are looking for an organized, detail-oriented, and proactive VA who can help with email communication, recruitment progress reporting, and scheduling/calendar coordination. This role is perfect for someone who is new to virtual assistance and eager to learn, but already has EXCELLENT English communication skills, strong attention to detail, and the ability to follow instructions carefully.
Client Requirements:
Must be able to work 40 hours weekly
Must be able to work 9am to 5pm Pacific Time (US)
Must have EXCELLENT written communication skills
Must have EXCELLENT English grammar, no typos, no misspellings
Must be highly organized and detail-oriented
Must be proactive and able to manage tasks independently
Must be comfortable handling recruitment-related updates and reports
Must be reliable with deadlines and recurring reporting schedules
Must be able to write emails manually WITHOUT the use of AI tools
Responsibilities/Tasks:

These are the tasks the VA needs to handle independently and confidently from day one:
Email Communication
Manage the team inbox
Draft clear, thoughtful, and human-written emails
Follow instructions, tone, and communication guidelines
Keep email communication organized and timely
Flag important emails or items that need the team’s attention
Recruitment Progress Reporting:
Prepare recruitment progress reports twice a week
Report how many candidates are in each recruitment stage
Ensure recruitment numbers are accurate before sending updates to the client
Communicate progress updates to the client on schedule
Nice-to-Have Experience (Responsibilities You Can Learn Over Time):
These tasks are valuable but can be trained on the job:
Assist with scheduling as needed
Coordinate calendar availability between the client, candidates, and other parties
Send calendar invites and scheduling confirmations
Monitor calendar changes and help reschedule meetings when needed
Ensure all scheduled meetings are accurate and clearly communicated
Follow up when scheduling responses are pending
Track candidate movement through the recruitment process via the company’s ATS system
