Full Job Description

Muscular Moving Men & Storage is seeking a highly organized, detail-oriented, and proactive Administrative Assistant to support executive operations within our growing organization.

This role will work directly alongside the Executive Assistant to the CEO, President, and COO, helping manage day-to-day administrative workflows with a strong emphasis on social media coordination, meeting organization, and content management.

The ideal candidate is tech-savvy, highly reliable, creative yet structured, and capable of managing recurring tasks with precision and consistency. This is a part-time virtual assistant position with the opportunity to grow as additional administrative responsibilities are introduced over time.

A major component of this role involves managing executive social media workflows, including video editing, graphic creation, content scheduling, and posting across platforms such as Facebook, Instagram, and LinkedIn.

Because this role supports executive leadership and involves confidential company communications, all candidates must be willing to sign and strictly adhere to a confidentiality and non-disclosure agreement upon onboarding.


Job Responsibilities

Social Media Management & Content Coordination

  • Edit short-form video content for executive social media channels
  • Create and schedule content across Facebook, Instagram, and LinkedIn
  • Maintain consistent posting schedules and branding standards
  • Assist with content organization, caption formatting, hashtags, and platform optimization
  • Monitor content calendars and ensure timely publication

Graphic Design & Canva Projects

  • Design professional internal and external graphics using Canva
  • Create branded templates, social media graphics, presentations, and simple marketing materials

Executive Administrative Support

  • Assist with CEO email inbox triage and organization
  • Flag priority communications and organize follow-up items
  • Support executive workflow organization and administrative task tracking

Meeting Management & Recaps

  • Utilize Otter.ai to organize meeting transcripts and summaries
  • Prepare concise meeting recaps, action items, and follow-up documentation

General Administrative Assistance

  • Support recurring operational and administrative tasks
  • Take on additional administrative responsibilities as the role evolves


Job Requirements

Required Qualifications

  • Previous experience as a Virtual Assistant, Administrative Assistant, Executive Assistant support role, or similar administrative position
  • Strong written and verbal English communication skills
  • Exceptional organizational skills and attention to detail
  • Ability to manage recurring tasks independently and consistently
  • High level of professionalism and discretion with confidential information
  • Comfortable working in a fast-paced executive environment

Technical Skills

  • Experience with social media scheduling and posting platforms
  • Proficiency in Canva
  • Basic video editing experience for social media content
  • Familiarity with Google Workspace and Microsoft Office
  • Experience using communication and organization tools such as:
    • Otter.ai
    • Google Drive
    • Google Calendar
    • Slack
