Pathfinder Hospitality (PFH) is an Austin-based hotel management company operating a portfolio of branded properties, including Aloft Austin Southwest, Holiday Inn Express Arboretum, and Staybridge Suites Houston Clear Lake. We are opening a dedicated seat built around one function that keeps the whole business moving: chasing execution. When a request goes out to a General Manager or another stakeholder with a date attached, or when an FF&E order or major repair project needs to move forward, this person follows up daily until it is done. The value here is relentlessness and organization: the discipline to track dozens of open items and get every one of them closed.
Follow-through at the property level is not yet where it needs to be, and the business cannot wait on that maturing on its own. This role closes that gap today, and as the underlying process matures, it has room to grow into more scope, not less.
Today, that follow-up work falls largely on senior leadership, which pulls their time and focus away from higher-value work. Tightening it up frees leadership and speeds up everyone downstream of a GM commitment: accounting and the properties waiting on each other.

Role Summary
The Administrative Assistant keeps outstanding commitments visible and moving across Pathfinder Hospitality. When a request goes out to a General Manager or another stakeholder with a deadline attached, this person logs it, follows up daily until it is resolved, and escalates anything stuck before it becomes a problem.
The core of the role is one function done exceptionally well: track, follow up, escalate, close, whether it is a GM commitment or an FF&E and repair project moving through the pipeline. Alongside that, it covers calendar management, basic Canva work, and general administrative and project support.
Key Responsibilities
Follow-Through & Execution Tracking
• Own the follow-up. Follow up daily, politely and persistently, on every request that goes out to a GM or stakeholder with a date attached, until it is done.
• Track everything. Maintain a live log of outstanding items: what is open, who owns it, when it is due, and its current status.
• Escalate what's stuck. Flag stalled items to the appropriate leader before they become a bigger problem.
• Close the loop. Confirm completion and update the tracker so nothing lingers as in progress after it is actually done.
Asset Management Follow-Through
• Track FF&E and repairs. Maintain a live log of furniture, fixtures, and equipment (FF&E) orders and major repair projects across properties, from request to completion.
• Chase vendors and contractors. Follow up on delivery dates, installation schedules, and repair timelines until each item is done.
• Coordinate with GMs on-site. Confirm scope, access, and sign-off with property teams so projects do not stall on the ground.
• Escalate delays early. Flag budget, scope, or timeline issues to leadership before they become bigger problems.
Calendar & Scheduling Support
• Manage calendars. Coordinate calendars for leadership as needed, scheduling meetings, calls, and follow-ups across time zones.
• Send reminders. Give advance notice ahead of deadlines and meetings so nothing is a last-minute surprise.
Administrative & Project Support
• Handle the admin. Take on day-to-day tasks: document organization, data entry, correspondence.
• Support projects. Bring organization and coordination to ad hoc projects as they come up.
• Use the right tools. Structure and track multiple concurrent workstreams using project management tools.
