We are a growing mental health therapy practice looking for a reliable, empathetic, and detail-oriented Virtual Assistant to support our team remotely. This client-facing role helps therapists focus on care by handling admin, intake, insurance, and client communication.
📋 Key Responsibilities Include:
• Responding to new client inquiries (phone, email, text, forms) with warmth and professionalism
• Conducting initial screenings/intakes and onboarding new clients
• Full Cycle Billing - Verifying insurance benefits, copays, preparing invoices; following up on claims, payments, and unpaid balances
• Managing client records in EHR systems (training provided if needed)
• Scheduling, follow-ups, tracking attendance/no-shows, and general practice admin
• Maintaining strict HIPAA compliance and confidentiality at all times
💻 Required Qualifications:
• Minimum 5 years of experience in medical billing, insurance verification (mental health preferred)
• Excellent English communication skills (written and verbal) – this is a highly client-facing position requiring clear, professional, and empathetic interactions
• Strong organizational skills, attention to detail, and ability to multitask in a fast-paced remote setting
• Proficiency with Google Workspace, Microsoft
Office, secure tools, and EHR/medical billing softwares
• Reliable high-speed internet, quiet workspace, and commitment to data security/HIPAA
