The Role:

We're hiring an Operations & Delivery Assistant to take the day-to-day off our founder's plate so she can spend her time where it actually matters: coaching clients and building the business. This is not a "wear 47 hats and hope for the best" role — it's a focused mix of admin support, systems/automation work, and helping run our client delivery platform.You don't need to be an expert in every tool we use. You need to be sharp, allergic to dropped balls, and comfortable learning how a system works well enough to keep it running without hand-holding.

Job Responsibilities

What You'll Own:

Founder time leverage (day one priorities)

• Calendar management
• Daily agenda prep + call read-aheads
• Task scheduling and follow-through
• SOP creation and upkeep for DMs and appointment-setting

Client delivery support (Skool + Airtable):

• Edit and upload recorded course modules to Skool
• Set up and maintain the private community space and tiered access
• Build and organize the document/resource library
• Maintain the Airtable client-journey tracker: milestones, cohort week, call-readiness flags, “ready to pitch Scale” flags
• Manage the milestone self-report form clients use to update their own progress

Revenue protection (fast, high dollar-per-hour work):

• Run the follow-up system for stalled/cold leads
• Track and improve sales call show rates

Systems & automation backbone

• Organize and maintain GoHighLevel — lead/sales pipeline and marketing funnel automations
• Support the GHL → Airtable → Skool handoff so client data flows cleanly between systems
• Build and maintain automations: onboarding sequences, weekly client emails, weekly tracking/reporting, testimonial requests, referral prompts, Q&A calendar reminders
• Build and maintain lead magnet funnel infrastructure in GoHighLevel (our marketing team writes the copy that goes into it)Build and maintain Airtable automations for marketing/content tracking, alongside the client-journey tracker

Job Requirements

Tools You'll Use:

• GoHighLevel — leads, sales pipeline, appointment booking, and marketing funnel automations
• Skool — course delivery, client community, tiered program access
• Airtable — the single source of truth for where every client is in their journey
• Google Workspace — calendar, docs, day-to-day coordination

You're a Strong Fit If :

• Actually enjoy building/organizing systems (not just tolerating them)Write clearly and don't need heavy editing
• Ask good questions instead of guessing and hoping
• Can take a documented process and run it without needing it re-explained every time
