Tingen Law is a U.S.-based immigration law firm headquartered in Richmond, Virginia. We help Hispanic immigrant families navigate complex legal processes with clarity, respect, and care. Our team values clear communication, diligence, and integrity in everything we do for our clients.

Role Summary

Be the friendly first point of contact for our clients. You’ll handle phone, email, and chat; share updates based on attorney/paralegal guidance; and make sure every client feels heard and supported. You’ll also coordinate appointments, document conversations in our systems, and support intake, triage, and basic document collection.

This role moves fast, requires independent follow-through across time zones, and holds a high bar for documentation accuracy and client sensitivity. If you need close supervision to stay on task, this won’t be the right fit.


Job Responsibilities

What Success Looks Like 

Within your first 90 days, you will:

  • Own the intake-to-appointment pipeline independently, converting inbound inquiries into scheduled appointments with minimal dropped handoffs.
  • Maintain a client response time that consistently meets or exceeds team standards across phone, email, and chat.
  • Complete documentation accurately and on time, with no material errors flagged by attorneys or paralegals.
  • Contribute measurably to the firm’s Google Review pipeline by guiding satisfied clients through the review process.

By six months, you will be a trusted, low-supervision resource for the client services team — someone attorneys and paralegals rely on to handle the front line without hand-holding.

What You’ll Do

  • Own the first impression for every prospective client. Respond promptly to inquiries across all inbound channels, qualify leads, and convert them into scheduled intake appointments — setting clients up for a smooth onboarding experience from day one.
  • Respond to client inquiries via phone, email, and chat with professionalism and empathy.
  • Provide updates based on attorney/paralegal guidance; set clear next steps.
  • Schedule and confirm appointments and timely follow-ups in our systems.
  • Log accurate notes in CRM/case tools; keep records current in our Google Drive folders (system of record).
  • Support intake, triage, and document collection for new clients.
  • Manage the Google Reviews outreach pipeline — contact clients who express positive feedback and guide them through leaving a review.
  • Keep a calm, compassionate tone — especially with urgent or sensitive matters. Confidentiality is non-negotiable.

Must-Have Qualifications

  • Fluent in Spanish and English — spoken and written, at a professional level.
  • 1+ year of demonstrated success in a customer service or client-facing role, with verifiable performance.
  • Strong communication skills, including the ability to be polite, clear, and appropriately firm when needed.
  • Comfortable following scripts, procedures, and escalation guidelines without improvising outside your lane.
  • Tech-savvy with chat, CRM, and phone systems; strong attention to detail in documentation.
  • Professional, dependable, and proven in your ability to manage multiple follow-ups independently in a remote setting.
