We are looking for a highly organized, reliable, and sharp Operations & Billing Coordinator to join our team.

This is a long-term, 100% remote position for someone who thrives in a fast-paced environment and enjoys being the "air traffic control" for a busy service business.

The Role: Your primary focus is ensuring our cleaning teams and our customers are perfectly synced. You will be the bridge that makes sure the job gets done and the business gets paid.

Primary Responsibilities (Dispatching):

  • Real-Time Coordination: Communicate between our cleaning crews (mostly Spanish-speaking) and our clients (English-speaking).
  • Arrival Monitoring: Ensure crews arrive on time. If a crew is delayed, you will proactively update the customer with a professional ETA.
  • Access Troubleshooting: Help crews gain entry to buildings (managing gate codes, lockbox locations, or contacting property managers if they are locked out).
  • Schedule Updates: Adjust the daily calendar as needed when jobs run long or cancellations occur.

Secondary Responsibilities (Invoicing & Admin):

  • Billing: Generate and send professional invoices to customers immediately following service completion.
  • Payment Collection: Monitor outstanding balances and send polite reminders to ensure we are paid on time.
  • Data Entry: Keep our CRM/Scheduling software updated with accurate notes from the field.

Requirements:

  • 100% Bilingual: Native or near-native Spanish and high-proficiency English (Written and Spoken).
  • Punctuality: You must be online and available during Southern California (PST) business hours.
  • Problem Solver: You stay calm when a crew is lost or a customer is frustrated.
  • Detail-Oriented: You take pride in "zero-error" invoicing.

Schedule & Compensation:

  • Schedule: 6 days per week, 8 hours per day (48 hours total).
  • Time Zone: Must work Southern California (Pacific Standard Time) hours.
  • Salary: $700 USD per month 
  • Stability: This is a permanent, long-term role with a stable US-based company. No night shifts!

Job Responsibilities

Dispatch & Coordination: Act as the main point of contact between Spanish-speaking cleaning crews and English-speaking clients.

Real-Time Logistics: Monitor crew arrivals and proactively update customers with professional ETAs if delays occur.

Access Management: Troubleshoot entry issues by providing gate codes, lockbox locations, or contacting site managers.

Billing & Invoicing: Generate and send invoices to customers immediately upon job completion.

Accounts Receivable: Follow up on outstanding payments and ensure all digital records are accurate.

Schedule Management: Update the company calendar in real-time to reflect cancellations or job extensions.


Job Requirements

  • Bilingual Mastery: 100% fluent in both English and Spanish (written and spoken).
  • High-Speed Internet: Minimum 20 Mbps stable connection.
  • Backup Power/Internet: Must have a secondary source (like a mobile hotspot) for emergencies.
  • Hardware: Reliable PC/Laptop and a high-quality headset for clear calls.
  • PST Availability: Must be available to work 48 hours per week on Pacific Standard Time.
  • Software Savvy (A Plus): Experience with Slack, CRM/scheduling software, and Google Workspace is highly preferred.
