ABOUT THE TITLE: CHIEF OF STAFF & EXECUTIVE OPERATIONS DIRECTOR
We created this title intentionally. Here is what it means in practice:
● Chief of Staff — You are the CEO's right hand. You anticipate needs, remove obstacles, and ensure execution at the highest level.
● Executive Operations Director — You oversee the day-to-day functions of the business: operations, sales, finance, and customer support.
● You are not just supporting the CEO. You are helping run the company.
CORE RESPONSIBILITIES
Executive Support
● Manage the CEO's calendar, communications, priorities, and daily workflow with precision
● Draft, proofread, and send correspondence on behalf of the CEO in both English and Spanish
● Prepare reports, presentations, agendas, and briefing documents
● Act as a gatekeeper and liaison between the CEO and all internal/external stakeholders
● Anticipate needs before they arise — think three steps ahead at all times
Operations Management
● Oversee daily operational functions across all departments
● Identify inefficiencies and implement scalable systems and processes
● Monitor KPIs and report operational performance to the CEO
● Ensure all teams are aligned, accountable, and hitting their targets
● Step in as needed to resolve operational issues quickly and decisively
Finance Oversight
● Track budgets, expenses, and cash flow on behalf of the CEO
● Prepare financial summaries, reconcile accounts, and flag anomalies
● Coordinate with vendors, contractors, and payment processes
● Ensure invoicing, billing, and collections are running smoothly
● Support financial planning and forecasting in collaboration with the CEO
Sales Support
● Monitor sales pipeline activity and assist with follow-up and outreach
● Support proposal preparation, contract management, and client onboarding
● Track sales metrics and provide regular reporting to the CEO
● Coordinate between the sales team and operations to ensure seamless delivery
Customer Support Oversight
● Oversee the customer support function to ensure service excellence
● Handle escalated customer issues with professionalism and urgency
● Monitor team responsiveness and customer satisfaction metrics
● Develop and refine customer-facing processes and communication templates
Team Management
● Directly oversee existing staff across all departments
● Assign tasks, set expectations, and hold team members accountable
● Foster a positive, high-performance team culture
● Onboard new team members and maintain performance documentation

REQUIREMENTS
● Fluent in both English and Spanish (written and verbal) — this is a firm requirement
● Minimum 3 years of experience in an executive assistant, operations, or administrative leadership role
● Demonstrated experience managing or overseeing a team
● Proficiency with project management tools (Asana, ClickUp, Trello, or similar)
● Strong working knowledge of financial tracking, budgeting, and reporting
● Excellent written communication skills in both languages
● Reliable high-speed internet connection and a quiet, professional remote work setup
● Available Monday through Friday, 8:00 AM – 5:00 PM Pacific Standard Time (PST) without exception
● Ability to pass a background check
