Immigration Lawyers USA is a growing immigration law firm based in Miami, Florida. We are seeking a fully bilingual (Spanish–English) Client Services & Intake Specialist to serve as the first point of contact for individuals seeking immigration help.This role is ideal for someone who is exceptional at customer service, communicates clearly and professionally, thrives in a fast-paced environment, and takes pride in accuracy, organization, and teamwork. You will regularly interact with individuals who are stressed, emotional, or confused, and must be able to remain calm, empathetic, and confident while gathering information and guiding them through next steps.This position focuses on client intake, communication, and service excellence. Job Responsibilities

• Serve as the first point of contact for prospective and existing clients via phone, WhatsApp, video calls, and social media platforms

• Conduct structured intake and prequalification conversations, gathering accurate and complete client information

• Respond promptly and professionally to inquiries from WhatsApp, Instagram, TikTok, Facebook, and phone calls

• Enter and maintain client and lead information accurately in the firm’s CRM and marketing systems (including SendFox)

• Maintain organized client notes and follow internal procedures consistently

• Assist with basic payment tracking tasks, including issuing receipts and recording payments in spreadsheets and QuickBooks

• Support administrative and light marketing tasks such as simple Canva edits, timestamping TikTok Lives, and organizing internal notes

• Communicate clearly with attorneys and team members to ensure smooth handoffs and follow-ups

• Maintain a professional on-camera presence and workspace for occasional video meetings and a quiet workspace for daily phone calls

• Adapt quickly to changing priorities and immigration-related updates in a high-volume environment

Job Requirements

Required:

• Fully fluent in Spanish and English, both written and spoken
• Minimum 2 years of customer service or client-facing experience (5 years preferred)
• Excellent spoken and written English with the ability to explain information clearly and professionally
• Strong attention to detail and accuracy when entering and managing data
• Ability to remain calm, empathetic, and professional under pressure
• Positive attitude, strong work ethic, and willingness to go the extra mile
• Ability to work effectively with a small, close-knit team
• High school diploma or equivalent (college education is a plus but not required)

Remote Work Requirements:

• Must be based in Latin America and able to work Monday–Friday, 9:00 a.m.–6:00 p.m. EST
• Quiet, clean, and professional workspace suitable for video and phone calls
• Reliable high-speed internet with a clear backup plan for outages
• Personal computer, webcam, and headset required
• Must be able to work exclusively for Immigration Lawyers USA (no outside employment)
