I'm hiring a full time Client Success Manager and I'm moving fast.
Here's what I'm looking for:
1. Someone who can talk and communicate. This is number one. You'll be speaking with US doctors and practice managers every week. You need to be clear, warm, confident, and easy to understand.
2. Someone who is organized. You'll manage a full list of clients and nobody can slip through the cracks.
Here's the job:
Talk to every client every week by call, text, email, or Zoom. No client goes quiet.
Onboard new clients so they know exactly what to expect from day one.
Show them the value. Pull their numbers (leads, contacts, appointments booked) and walk them through what the system did for them.
Catch problems early. Most of our clients use their own marketing company to run ads. We connect to their system and our AI calls and texts every new lead to book them. When results are low, the real issue is often lead quality from the ads, not our system. You need to spot that and explain it clearly and calmly.
Your main goal is client retention. If clients stay and feel good about working with us, you're winning. As we grow, this role grows with us.
This is a full time, remote role with retention bonuses as we grow. Work hours overlap with US Central time.
HOW TO APPLY

First, read this situation. You'll use it in both parts below.
A dental practice hires a marketing company to run Facebook ads. When someone fills out a form on an ad, that lead goes into the practice's system. We are connected to that system. Our AI calls and texts every lead within minutes to book them an appointment. We only handle the follow up. We do not run the ads.
Last month the ads brought in 150 leads. Our system called and texted every single one. 90 of them never picked up or replied. Many gave fake numbers or didn't remember filling out the form. Of the ones who did answer, our system booked 38 appointments.
The doctor contacts you and says: "I'm not getting more patients. I want to cancel."
PART 1: VIDEO (required, 5 minutes max)

CLIENT ONBOARDING
5. Run onboarding calls with every new client.
6. Set clear expectations from day one: how the system works, what results to expect, how often we will communicate, and who to contact for help.
7. Collect any information or access we need from the client to launch their system.
8. Follow up during the first 30 days to make sure every new client is comfortable and seeing early results.
SHOWING VALUE
9. Pull each client's numbers every week: leads received, leads contacted, appointments booked, and appointments that showed.
10. Send a short weekly update to each client explaining what the system did for them.
11. Run monthly review calls to walk clients through their results and next steps.
12. Explain results in simple language that a busy doctor can understand in seconds.
RETENTION AND PROBLEM SOLVING
13. Spot at risk clients early: clients who go quiet, complain, or have low bookings.
14. Flag any at risk client to the owner the same day.
15. Ask questions to understand what the client expected and what is really going on before offering solutions.
16. Identify when low results are caused by lead quality from the client's marketing, and explain it calmly and clearly.
17. Handle cancellation requests professionally and work to keep the client.
18. Track and report client retention every month.
ORGANIZATION AND TRACKING
19. Keep a client tracker updated with last contact date, next touch point, open issues, client status, and next action.
20. Log every client conversation in our systems (Notion and GoHighLevel).
21. Plan each week ahead so every client is contacted on schedule.
22. Send the owner a weekly summary of client status, wins, risks, and open issues.
TEAM COORDINATION
23. Work with our project manager and developers when a client needs changes or technical support.
24. Make sure client requests are passed to the right team member with clear details.
25. Follow up until every client issue is fully resolved and confirm the fix with the client.
CLIENT FEEDBACK AND GROWTH
26. Collect client feedback and share what we can improve.
27. Collect testimonials and reviews from happy clients.
28. Notice when a client could benefit from more of our services and share it with the owner.
REQUIRED EXPERIENCE
1. At least 2 years of experience in customer success, account management, or customer support.
2. Experience managing a list of ongoing clients, not just one time support tickets.
3. Experience handling upset clients and difficult conversations calmly.
4. Experience working with US based clients or companies.
LANGUAGE
5. Fluent English, both spoken and written (C1 level or higher). You will speak with US doctors every day.
6. Clear speaking voice that is easy to understand on the phone.
7. Spanish is a plus but not required.
COMMUNICATION SKILLS
8. Clear, warm, and confident on phone calls and video calls.
9. Strong writing skills for short, professional texts and emails.
10. Able to explain numbers and results in simple language.
11. Asks good questions and listens before offering solutions.
ORGANIZATION SKILLS
12. Highly organized with a proven system for tracking many clients at once.
13. Plans the week ahead and follows through without reminders.
14. Strong attention to detail.
15. Takes ownership and communicates early when something falls behind.
TECHNICAL SKILLS
16. Experience with at least one CRM (HubSpot, GoHighLevel, Salesforce, or similar).
17. Comfortable with Google Workspace (Gmail, Sheets, Docs, Calendar).

19. Able to read basic reports and numbers (leads, contact rate, booking rate).
