This role sits at the heart of our client experience. As our 120-day program continues to grow, we are looking for a reliable, detail-oriented coordinator to own the day-to-day execution that keeps clients moving forward and on track. You will manage each client through four program phases, handle session prep, keep communication flowing, and make sure nothing falls through the cracks. Beyond client management, you will support light administrative work including invoice follow-up, call scheduling, weekly recap notes, and a Monday morning operations summary. This is a role for someone who finds deep satisfaction in a well-run system and takes genuine pride in a client experience that feels effortless.
Guide each active client through the four program phases: Onboarding, Offer Clarity, 10-Day Sprint, and First Booking
Keep client status documented and up to date against the program SOP
Prepare all session materials, workbooks, and supporting assets ahead of each call
Send timely reminders and friendly follow-ups to keep clients on track with their deliverables
Monitor timelines and proactively address anything that needs attention
Send invoices and follow up on outstanding payments in a professional, timely manner
Schedule and confirm client calls
Write and deliver weekly client recap notes based on call summaries
Produce a Monday morning report covering inquiries, bookings, payments, and overall client status
Grow into full ownership of delivery operations, with the founder focused on strategy
Background in client coordination, account management, or operations — agency, hospitality, and events experience all translate well here
Strong organizational habits with the ability to manage multiple client timelines at once
A calm, professional communication style that keeps clients engaged and on track
Written English proficiency at B2 level or higher
Availability to overlap at least 3 hours daily with Mountain Time (MST), Monday through Thursday, with a brief Sunday prep touchpoint
Comfortable working with tools including Google Workspace, Notion, Miro, Slack, Stripe, and CC360
Own laptop, headset, and a quiet, dedicated workspace
Stable, high-speed internet connection (Starlink preferred given the remote location)
Availability for 15–20 hours per week as an independent contractor, with a 30-day onboarding period to get fully up to speed
