ABOUT US
We're a fast-growing online education company teaching entrepreneurs how to build Amazon Wholesale businesses. We run a high-ticket mentorship program with a sales team, an active student community, and a paid-ads-driven webinar funnel. The CEO currently runs day-to-day operations herself — we're hiring a Director of Operations to take over the machine so she can focus on growth, content, and students.This is a rare role: you'll work directly with the CEO of a 7-figure company, own real systems (not busywork), and grow with the business. You won't be one of fifty VAs on a team — you'll be THE operations person, with full visibility into how a high-ticket online business actually runs.
WHAT YOU'LL OWN
Financial Operations:-
Build and maintain our profit dashboard (using AI tools): expenses, payments collected net of fees, refunds, chargebacks, and true profitability- Update accounts receivable daily- Monitor payment plans daily — catch declined/failed payments the day they happen and recover them before they become past due- Collect past-due payments from clients- Handle refund and chargeback disputes end-to-end: gather evidence (signed agreements, call recordings, usage logs) and submit winning responses- Prepare payroll in Gusto for CEO approval- Calculate and verify sales team commissions (setters and closers) each pay periodSales & Revenue Operations:- Manage the CRM (GoHighLevel): pipelines, lead routing, data hygiene- Respond to inbound leads and CEO inquiries- Track sales team performance: calls booked, show rates, close rates, cash collected- Ensure booking calendars and round-robins route calls to the right repsSystems & Tech:- Update funnels as needed- Build and manage automations (GHL workflows and similar)- Check pixels, ad tracking (Hyros), and automations daily — catch tracking breaks before they cost us money- Coordinate with the ads team so the handoff from ad to funnel to CRM stays clean- Manage webinar operations: registrant lists, reminder sequences, replay delivery- Manage our software stack: subscriptions, renewals, cutting tools we don't useClient Success Operations:- Own new student onboarding: contract signed, payment set up, community access granted, welcome sequence delivered- Track student progress and engagement — flag at-risk or inactive students early- Manage the CEO's community (Skool) inbox and relay messagesExecutive & Inbox Management:- Manage the CEO's personal inbox: triage daily, flag what needs her attention, draft replies in her voice, archive the noise- Manage the company email inbox: respond to inquiries, route client questions to the right place, keep it at inbox zero- Calendar management: create, move, and remove events- Deliver a weekly ops scorecard to the CEO: cash collected, refunds, show rate, close rate, spend vs. revenue — and flag anything that looks off- Document every process you run as an SOP — you're building a machine, not just doing tasks
REQUIREMENTS
Must have:- Experience in operations, executive assistance, or admin for an online business — coaching, education, agency, or e-commerce preferred- Hands-on GoHighLevel experience (or a similar CRM like HubSpot/ActiveCampaign with willingness to master GHL fast): funnels, workflows/automations, calendars, pipelines- Comfort with payment operations: processor dashboards, payment plans, refunds — chargeback dispute experience is a big plus- Solid Google Sheets skills: formulas, pivot tables, building simple dashboards- Daily fluency with AI tools (ChatGPT/Claude) — you use them to build reports, draft communications, and work faster- Excellent written English — you'll communicate with leads and clients on behalf of the CEO- Extreme attention to detail and discretion — you'll handle payroll, revenue data, and client contracts- Available during US business hours (at least 4–5 hours of overlap with US Eastern Time)Nice to have:- Ad tracking experience (Hyros, Meta pixel, UTMs)- Gusto or other payroll software- Skool or other community platforms- Experience supporting a high-ticket sales team (setters/closers, commission structures)WHO THRIVES HERE- You're a systems thinker: when you do something twice, you document it and automate it the third time- You spot the wrong number in a report before anyone else does- You take things off the CEO's plate completely — "handled" means she never has to think about it again- You're proactive: you flag problems with a proposed solution, not just the problem- You want to grow into a true leadership seat as the company scales — this role is the path to it
