I am looking for an experienced Virtual Assistant to help with general admin tasks, calendar, inbox management, and answering the phone and taking calls plus managing our intake.

Someone with great communication skills (Spanish and English) is very important for you to be successful in this role. We are looking for someone who has proven experience, and is willing to answer the phone, along with taking care of our leads or clients, which includes but not limited to cold calling, etc.

I am looking to add someone HARD WORKING, HONEST and DEDICATED to the team as soon as possible!

Must be technologically SAVVY. We all work hard and move fast. There are strict deadlines. This is a GREAT job with PLENTY of work available, but you must be willing to commit and go all-in 100%!

This is a PART-TIME opportunity, with a starting salary set at $6/hour. BUT can be full time for the right candidate.

Job Responsibilities

  • Respond to client inquiries in English and Spanish.
  • Conduct initial consultations and gather client information.
  • Guide clients through the intake process, ensuring all forms are complete.
  • Maintain and update client records in CRM systems.
  • Schedule appointments and manage calendars.
  • Serve as the primary point of contact during the intake process.
  • Address client concerns with professionalism and empathy.
  • Translate documents and communications between English and Spanish.
  • Follow up with clients to confirm satisfaction and gather additional documentation.
  • Organize and manage client files, ensuring accuracy and accessibility.
  • Provide interpretation support during calls or meetings.
  • Use virtual tools (Zoom, Google Workspace, CRM platforms) for task management.
  • Ensure confidentiality and compliance with privacy standards.
  • Identify areas for process improvement and recommend solutions.


Job Requirements

  • Fluency in both English and Spanish (written and spoken).
  • Strong communication and interpersonal skills.
  • Experience in customer service or client-facing roles.
  • Proficiency in virtual tools such as Zoom, Google Workspace, and CRM platforms.
  • Ability to manage and organize client information accurately.
  • High attention to detail and excellent time-management skills.
  • Strong problem-solving abilities and adaptability.
  • Familiarity with confidentiality standards and privacy regulations.
  • Previous experience in intake specialist roles or similar positions is a plus.
  • Reliable internet connection and a quiet workspace for remote work.
