Overview

Duties

  • Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and transcribing meetings or notes.
  • Coordinate projects by organizing timelines, tracking deliverables, and liaising with team members to ensure deadlines are met.
  • Handle office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.
  • Assist with event planning for company functions or client engagements, including venue arrangements, catering coordination, and logistics management.
  • Operate multi-line phone systems with professional phone etiquette while managing incoming calls and directing inquiries efficiently.
  • Support personal assistant duties as needed, including managing personal appointments or errands for executives.

Skills

  • Demonstrated experience in office management, clerical work, or administrative roles with a focus on executive support.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Excellent typing speed combined with transcription and proofreading capabilities to produce accurate documents swiftly.
  • Knowledge of bookkeeping practices using QuickBooks and basic bookkeeping principles.
  • Exceptional communication skills with professional phone etiquette and customer service orientation.
