Engagement Overview 

LoanBud is seeking a highly organized, proactive, and resourceful independent contractor to provide executive assistance and operations support directly to our Founder & CEO. 

This is not a traditional administrative role focused only on calendars and scheduling. The contractor will help the CEO organize priorities, capture and structure ideas, coordinate meetings, drive follow-up, prepare documents, and make sure important commitments don't fall through the cracks — becoming a trusted extension of the CEO and helping create a more organized, effective operating rhythm around his day. As the engagement matures, it will also include selected remote office- and operations-support tasks that keep the wider team running smoothly. 

The right provider is comfortable working with senior executives, employees, lenders, partners and vendors; can take incomplete information, ask good questions, and turn it into clear next steps; and brings strong written English, judgment, discretion, responsiveness and follow-through.


Job Responsibilities

Scope of Services 

The contractor will provide services across the following areas: 

  • Priority & task management — maintain a centralized system for the CEO's priorities, tasks, commitments and follow-ups; run a brief daily planning check-in; track open items and remind responsible parties; and deliver a concise daily written summary so nothing gets lost across email, Teams, meetings or voice notes. 
  • Meeting support & follow-up — attend selected executive, product, sales, operations, finance and partnership meetings (roughly 10/week); capture decisions, action items, owners and deadlines; prepare agendas and background; distribute follow-ups; and chase open items to completion. 
  • Turning ideas into action — convert voice notes, rough notes and conversations into structured documents; prepare first drafts of briefs, process docs, project plans and summaries; and organize early-stage ideas into clear objectives, requirements, open questions and next steps before the right product or engineering owner picks them up. 
  • Calendar management — manage the CEO's calendar, coordinate internal and external meetings, resolve conflicts, and over time develop the judgment to move, shorten, decline or reschedule when appropriate. 
  • Communication & administrative support — draft emails and internal communications; coordinate and track agreements, documents and signatures; follow up with stakeholders when requested; and, as trust develops, assist with inbox organization and routine responses. 
  • Remote office & operations support — take on selected recurring operational and coordination tasks that can be handled remotely, helping keep team workflows, documents and administrative processes organized. 
  • Selected personal & lifestyle coordination (a limited but real part of the role) — reservations, travel, personal appointments, coordinating household or contractor services, and occasional personal requests, including working with the CEO's family when specifically authorized. 
  • Travel & expense support — coordinate roughly 10 business and personal trips per year; research and organize flights, hotels, transport and itineraries; and support receipt organization and expense documentation with the finance function. 


Job Requirements

Required Experience 

  • 5+ years as an Executive Assistant, Senior EA, executive operations professional, or similar. 
  • Experience directly supporting a founder, CEO, senior executive or business owner. 
  • Excellent written and spoken English, and the ability to turn rough information into clear, professional documents. 
  • Exceptional organization, attention to detail, and strong follow-through to completion. 
  • Strong judgment and prioritization across competing requests; able to work independently without constant instruction. 
  • Comfortable communicating directly with executives and employees, and handling confidential company, financial, employee and personal information with discretion. 
  • Experience with calendars, email, Microsoft Office or Google Workspace, and project/task-management systems. 
  • Comfortable learning and using AI tools such as ChatGPT. 
  • Able to work across a full U.S. Eastern Time business day and stay highly responsive during business hours. 

Nice to Have 

Experience supporting a founder/CEO at a fast-growing company; fintech, financial services, lending, banking, SaaS or technology experience; tools such as Notion, ClickUp, Monday.com, Asana or Microsoft Teams; drafting project briefs, requirements docs, SOPs or product documentation; supporting both professional and occasional personal responsibilities; experience with U.S.-based companies; and project management or operations experience.
