Full Job Description

The Lakecation Vacations Customer Care Specialist is responsible for supporting guests and property owners by ensuring a smooth and enjoyable vacation experience from booking through checkout. This role monitors guest reservations, check-ins, and check-outs, answers phone calls and guest inquiries, and assists with reservations and marketing efforts.

The Customer Care Specialist works closely with operations teams to ensure properties are properly prepared before guest arrival by confirming that cleaning, maintenance, and inspections are scheduled and completed. This position also maintains accurate property and reservation information in the property management system (PMS).

The ideal candidate is organized, service-focused, and committed to maintaining high guest satisfaction while supporting the field operations and sales teams.

Job Responsibilities

Guest Communication & Support

• Answer incoming phone calls and assist guests and property owners.
• Respond promptly to guest questions, messages, and reservation inquiries.
• Provide helpful information about properties, amenities, and the Lake of the Ozarks area.
• Address guest concerns and help resolve issues to ensure a positive experience.

Reservation & Booking Support

• Assist guests with booking questions and reservation support.
• Help guide guests through the reservation and booking process.
• Support marketing and sales efforts by responding to booking inquiries and leads.
• Monitor reservations to help ensure booking goals are met.

Guest Check-In & Check-Out Monitoring

• Monitor upcoming arrivals and departures to ensure smooth guest transitions.
• Confirm check-in instructions and guest communications are properly sent.
• Ensure checkout procedures are followed and report any issues.

Property Readiness & Operations Coordination

• Monitor property schedules to ensure cleaning, maintenance, and inspections are completed prior to guest arrival.
• Coordinate with field operations teams to resolve scheduling or service issues.
• Ensure properties meet readiness standards before check-in.

Property Management System (PMS) Updates

• Maintain accurate property and reservation information in the PMS system.
• Update property notes, schedules, and reservation details as needed.
• Monitor booking calendars and ensure information is accurate and up to date.

Team Support & Communication

• Communicate effectively with operations, maintenance, cleaning, and sales teams.
• Support field operations by helping coordinate property readiness.
• Maintain a positive and supportive role within the team.

Customer Satisfaction & Service Standards

• Help ensure Lakecation Vacations maintains high guest service standards.
• Contribute to strong guest reviews and positive experiences.
• Support company goals for guest satisfaction and successful bookings.

Job Requirements

• Excellent customer service and hospitality skills
• Strong written and verbal communication in English
• Ability to manage multiple guest communications and tasks at the same time
• Strong organization and time management skills
• Detail-oriented with the ability to monitor reservations and operational schedules accurately
• Comfortable working with property management systems (PMS) and digital tools
• Ability to learn and use platforms such as Hostaway, booking systems, CRM tools, and Google Workspace
• Strong problem-solving and conflict resolution skills when assisting guests
• Ability to coordinate with multiple teams including operations, cleaning, maintenance, and sales
• Ability to work independently in a remote environment
• Reliable high-speed internet connection and professional workspace
• Availability to work during U.S. Central Time business hours
• Positive attitude, reliability, and ability to maintain high guest service standards
