Full Job Description

We are seeking a highly organized, detail-oriented, and self-motivated Hybrid Human resource and Administrative Support Specialist to join our full-service accounting firm. This critical role supports both the firm's internal operations and provides dedicated outsourced HR, and administrative support to key clients. The successful candidate will be the hub of communication and efficiency, supporting our team of professionals who primarily serve High-Net-Worth (HNW) business entrepreneurs in the service sector.


Job Responsibilities

A. Dedicated Client Support

  • Accounts Payable (A/P): Manage the full A/P cycle, including processing, coding, and preparing vendor invoices for payment; executing weekly payment runs (checks/EFTs).
  • Accounts Receivable (A/R): Monitor A/R aging reports, post daily cash receipts, and conduct follow-up communication on past-due client invoices.
  • Human Resources (HR) Support: Assist with the client's internal HR paperwork, including onboarding/offboarding documentation, and payroll change submissions.
  • Administrative Management: Maintain and organize the client's physical and electronic financial and administrative files.

B. Firm-Wide Support

  • Client Communication & Management: Serve as a point of contact for routine client inquiries (phone, email, secure portal); triage and route complex questions to the appropriate staff; manage and update client records in the Client Relationship Management (CRM) system.
  • Tax Preparation and Administration: Help with the management flow of client tax documents; create, organize, and maintain digital tax work papers; perform basic tax data entry for simple returns; assemble and e-file completed returns; track and resolve simple e-file rejections.
  • Administrative Operations: Manage and handle the firm's client onboarding and offboarding administrative tasks (e.g., engagement letters, system setup).


Job Requirements

Requirements & Qualifications

  • Experience: 3+ years of professional experience in an administrative, human resources, or accounting support role, preferably within an accounting firm or professional service environment.
  • Education: Bachelor's degree preferred, though equivalent experience will be considered.
  • Technical Skills: Proficiency in QuickBooks (Desktop and Online) or similar accounting software. Strong aptitude for learning and using various firm-specific software (tax preparation, CRM, practice management).
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).

Soft Skills:

  • Exceptional organizational and time management skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • High degree of attention to detail and accuracy in data entry and document management.
  • Excellent written and verbal communication skills; professional and courteous client service demeanor.
  • Ability to handle confidential information (both client and firm HR data) with the utmost discretion and integrity.
