Full Job Description

The HR Assistant provides virtual recruiting, onboarding, and administrative support to the HR Generalist and management team at Textbook Painting. This overseas contractor role helps identify, schedule, and onboard exceptional talent who align with our company's five core values.This position is ideal for a detail-oriented, organized professional who thrives in a fast-paced, people-centered environment and enjoys helping others succeed. You'll play an essential role in ensuring candidates experience a smooth, professional, and values-based hiring process from first contact through onboarding.


Job Responsibilities

1. Recruiting & Resume Screening

  • Review incoming resumes and applications from Indeed and other sources
  • Screen candidates based on minimum qualifications and cultural alignment with Textbook Painting's core values
  • Maintain accurate applicant data in shared spreadsheets and Google Drive

2. Interview Scheduling & Coordination

  • Schedule interviews using Google Calendar, JustCall, and Zoom
  • Send confirmations, reminders, and follow-ups to candidates and managers
  • Prepare summary notes for each candidate ahead of manager interviews

3. First-Round Video Interviews

  • Conduct structured initial screening interviews using a provided script and scorecard
  • Evaluate candidate responses objectively based on the rubric
  • Record short summaries and recommendations for the HR Generalist

4. Onboarding Administration

  • Manage communication with new hires after offer acceptance
  • Coordinate completion of onboarding documents in Gusto and ensure compliance
  • Assist with scheduling pre-employment requirements such as background checks or drug tests
  • Prepare and send welcome emails and Day 1 instructions to new employees

5. General HR & Administrative Support


Job Requirements

At least 1-2 years of experience in HR, recruiting, or administrative support

Excellent written and verbal English communication skills

Strong attention to detail, organization, and follow-through

Proficiency with Google Workspace (Docs, Sheets, Drive), Slack, and Zoom

Reliable internet connection and professional remote workspace

Experience working with US-based teams or small business owners
