JOB DESCRIPTION

We are seeking a highly organized and proactive Executive Assistant to join our team, playing a critical role in ensuring smooth operations and boosting efficiency across multiple departments. The ideal candidate will have exceptional technology and communication skills, with experience in CRM platforms and Social Media Marketing. Qualities key to this role include:

Job Responsibilities

Administrative Duties:

  • Manage Documents in Google Drive
  • Manage Leads in CRM & Google Drive Pipelines
  • Manage Contracts & Agreements (Sending/Receiving Docs)
  • Coordinate Transactions (Documents, Customer Service, Process Management)
  • Assist Capital Raising Projects
  • Initiate & Cancel Utilities for Projects
  • Initiate & Cancel Insurances for Projects
  • Assist with Budget Management for Marketing
  • Collaborate with Account Specialist
  • Fill In Roles & Responsibilities as Needed (e.g., prospecting, deal evaluation)

Human Resources:

  • Recruitment, Job Postings, Scheduling Interviews
  • Onboarding & Staff Development
  • Manage Employee Records & Documents
  • Timekeeping, Leave Management
  • Policy Implementation & Enforcement
  • Policy Regulations & Compliance Requirements

Team Leadership:

  • Culture, Birthdays, Holidays
  • Supervise Administrative Staff & Support Personnel
  • Provide Leadership & Guidance
  • Enhance Positive & Productive Work Atmosphere
  • Resolve Interpersonal Conflicts & Workplace Issues
  • Mediate Between Employees & Management
  • Organize Events & Coordinate Travel Arrangements

IT and Tech Support:

  • Oversee Internal IT Support (CRM, Google Workspace, Internal Applications
  • Liaise with External IT Support (PandaDoc, Batch Leads, Privy)
  • Capture Systems, Document Processes, Manage Index & FAQ’s

Legal Compliance

  • File Annual LLC Reports
  • Manage State Filing Requirements for Taxes

Customer Service:

  • Manage Inbound Leads (Calls, Forms, Emails)
  • Schedule Appointments & Follow-Up Communications

Business Relationships:

  • Nurture Vendor Relationships (Home Inspectors, Contractors)
  • Nurture Business Relationships (PMLs, HMLs, Realtors)

Marketing:

  • Manage Social Media Marketing & Support Marketing Operations


Job Requirements

  • Proven experience in administrative roles, specializing in technology and communication.

  • Exceptional organizational skills with a keen attention to detail. 
  • Proficiency in using Google Workspace, CRM systems, and providing IT support. 
  • Strong ability to prioritize tasks and manage time effectively. 
  • Meticulous in following established systems and procedures. 
  • Skilled in addressing workplace issues with tact and professionalism. 
  • Demonstrated experience in delivering exceptional customer service. 
  • Flexible and adaptable to changing priorities. 
  • Workspace free from distractions, suitable for remote work.
