Full Job Description

We are seeking a detail-oriented and highly organized Virtual Assistant (VA) to support our Partner and Account Management team through consistent daily, weekly, and monthly reporting. This role is responsible for preparing, reviewing, and distributing reports to moving partners and internal account owners while ensuring accuracy, professionalism, and timely communication.

The ideal candidate is proactive, responsive, comfortable working with spreadsheets/CRMs, and able to maintain strong communication with both internal teams and external partners.


Job Responsibilities

Daily Responsibilities

  • Review and organize incoming lead, sales, and operational data
  • Update CRM/account tracking systems accurately
  • Prepare and send daily partner/account updates as needed
  • Monitor shared inboxes and respond to reporting-related requests
  • Ensure lead sources, account notes, and referral data are accurate
  • Follow up internally on missing information needed for reports
  • Maintain organized digital files and reporting templates

Weekly Responsibilities

  • Prepare and distribute weekly partner/account performance reports
  • Track KPIs including:
    • Leads received
    • Closing percentages
    • Onsites/conducted estimates
    • Revenue generated
    • Pending opportunities
  • Identify missing or inconsistent reporting data
  • Coordinate with sales/account managers to ensure reporting accuracy
  • Assist in compiling labor board opportunities and partner updates
  • Help maintain reporting schedules and communication timelines

Monthly Responsibilities

  • Prepare end-of-month (EOM) partner payout and commission reports
  • Compile completed-job revenue summaries
  • Verify partner commission calculations and supporting data
  • Create polished reporting presentations and summaries for leadership
  • Assist with monthly newsletters, partner highlights, and recognition programs
  • Track monthly account performance trends and historical metrics
  • Maintain reporting archives and documentation


Job Requirements

Strong organizational and administrative skills

High attention to detail and accuracy

Excellent written communication and professionalism

Proficiency in:

  • Microsoft Excel / Google Sheets
  • CRM systems
  • Email management
  • Basic reporting and data tracking

Ability to manage recurring tasks and deadlines independently

Comfortable handling confidential business information

Experience in logistics, moving, sales support, or account coordination preferred
