Executive Assistant & Client Account Manager

Location: Remote

Type: Part-Time Leading to Full-Time | Monday–Friday, 10am–6pm EST

About the Role: We’re a marketing agency working with Physical Therapists in the United States. We are looking for an Executive Assistant & Client Account Manager to join our team. This isn’t a behind-the-scenes role, you’ll be the direct link between our clients, CEO, and deliverables team. 

You’ll lead weekly client calls, provide account updates, and ensure projects move forward on time and to our standards of excellence. Think of yourself as the glue that keeps communication flowing and the representative clients trust to make sure they’re heard, supported, and delivered results.

What You’ll Do: 

  • Run weekly calls with clients to review accounts and provide updates.
  • Managing emails and calendar of CEO.
  • Manage Asana Tasks.
  • Serve as the liaison between clients, CEO, and deliverables team.
  • Track projects, set priorities, and hold team members accountable to deadlines.
  • Prepare meeting notes, agendas, and follow-ups.
  • Draft contracts, SOPs, and key documents.
  • Provide QA checkpoints on deliverables (proofreading, reviewing, coaching).
  • Support company events, retreats, and special projects.
  • Manage communication across Slack, email, Google Meet, and other platforms.

What We’re Looking:

  • For Strong client-facing communication skills (verbal & written).
  • Highly organized and detail-oriented.
  • Comfortable leading meetings and coaching others.
  • Ability to juggle multiple projects in a fast-paced environment.
  • Positive, proactive, and adaptable under pressure.
  • Typing speed of 65+ WPM and quick to learn new tools

.Compensation: ≈ $1250-$2,500 USD/month, plus bonuses of up to $750 per month - $3,250 TOTAL

  • Prepare meeting agendas, take notes, and distribute follow-up action items.
  • Draft and manage contracts, SOPs, and other important company documents.
  • Provide quality assurance on client deliverables (proofreading, editing, reviewing).
  • Manage communications across Slack, email, phone, and Google Meet.
  • Support the planning and execution of events, retreats, and special projects.
  • Monitor progress of ongoing initiatives and provide daily/weekly status updates to leadership.
  • Assist with organizing files, processes, and systems to keep operations running smoothly.

  • Proven experience as an Executive Assistant, Account Manager, or similar client-facing role.
  • Strong written and verbal communication skills (English fluency required).
  • Highly organized with sharp attention to detail.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.
  • Confident leading client calls and coaching team members when needed.
  • Positive, proactive, and solution-oriented mindset.
  • High emotional intelligence with the ability to navigate conflict and build strong relationships.
  • Strong technical skills; quick to learn and adapt to new software and tools.
  • 65+ WPM typing speed, excellent spelling/grammar, and professional document formatting skills.
  • Reliable internet connection and availability during 10am–6pm EST hours, Monday–Friday (with limited on-call availability for emergencies).
