Media Operations Coordinator

Full Job Description

We are looking for a highly organized and detail-driven Virtual Assistant to support our daily operations. This role is primarily administrative, with additional responsibilities supporting our media workflow.You will play a key role in keeping projects moving, ensuring quality control, coordinating with team members, and helping deliver a smooth experience for our clients.Familiarity with real estate media workflows, along with experience using photo and video editing software, is a major advantage.

Job Responsibilities

Administrative & Operations Support

• Review and manage incoming client orders for accuracy and completeness
• Proactively reach out to clients after an order is placed to verify order accuracy and scheduling details
• Verify that invoice amounts are accurate before sending to clients for payment
• Answer incoming calls and respond to website chats in a professional and timely manner
• Assist clients who are having trouble downloading photos or videos from our system
• Schedule Zoom calls and walk clients through resolving download or access issues
• Follow up with clients after delivery to confirm they have access to their photos and answer any questions about using the system
• Coordinate with photographers, editors, and internal team members
• Monitor project timelines to ensure deadlines are met
• Communicate with editors (photo and video)
• Perform administrative tasks within our delivery platform (training provided)

Media Workflow Support

• Conduct quality control of all submitted photos for accuracy, completeness, and consistency before sending to editors
• Ensure all required shots are included based on the order
• Upload photos into our delivery system
• Organize and rename photo files as needed
• Arrange photos in a logical order that reflects the full flow of the home
• Deliver completed photo sets to clients using our system

Content Support

• Learn and operate AI-based tools to create videos from photos (training provided)
• Assist in generating simple marketing videos using provided systems
• Make minor photo or video edits when requested by clients
• Learn and assist with virtual staging as needed (training provided)
• During downtime, create and post social media content for the company

Job Requirements

• Strong attention to detail (this is critical—mistakes affect client delivery and billing)
• Ability to work independently and manage multiple tasks at once
• Reliable internet connection and consistent availability
• Comfortable learning new systems and workflows quickly
• Professional communication skills (written and verbal English required)
• Comfortable assisting clients directly and guiding them through technical issues
