Palm Beach Painters is seeking a motivated and organized Office Administrator to help manage our growing volume of client inquiries and project follow-ups. The ideal candidate will handle inbound calls, qualify leads, track proposals, and assist our estimator by keeping communication flowing between clients and our team. This role is perfect for someone who enjoys talking to people, is detail-oriented, and can stay organized in a fast-paced environment.
Answer and return inbound calls, texts, and emails from potential clients
Qualify new leads and schedule estimates for our estimator
Follow up on open proposals to help close jobs
Maintain accurate client notes and job status updates in our CRM
Assist with scheduling, confirmations, and daily office coordination
Provide professional, friendly customer service at all times
Support the management team with light administrative tasks as needed
Experience: 1–3 years in office administration, customer service, or sales support
Education: High school diploma or equivalent required
Skills: Excellent communication, organization, and follow-up ability
Comfortable using CRM or scheduling tools (Jobber, Pipedrive, etc.)
Strong phone etiquette and attention to detail
Reliable, proactive, and able to manage multiple tasks efficiently
