Virtual Assistant / Operations & Marketing Manager
Location: Remote (Latin America preferred — must overlap with Eastern Time Zone) Type: Full-Time Contract Compensation: $800/month base + $50 per closed real estate transaction
About Us
We are a fast-growing real estate company based in Tampa, Florida, licensed in both Florida and California. Our goal is to close 72+ transactions this year, and we're building a team to make that happen. The owner focuses exclusively on prospecting, client conversations, and closing deals — and we need a sharp, versatile person to handle everything else.
About the Role
This is not your typical virtual assistant role. You will be the backbone of the business — owning operations, transaction management, and marketing activities that keep the business moving and growing. A core part of your role is to implement the owner's vision and plan, turning strategy into action every single day. You'll have the opportunity to learn the U.S. real estate business from the inside and grow with us as we scale.
We are not looking for someone with real estate experience — we will train the right person. We ARE looking for someone who is highly organized, a strong English communicator, tech-savvy, and hungry to grow.
What You'll Own
Transaction & Operations Management
- Prepare and manage buyer and seller paperwork, contracts, and addendums
- Order inspections, coordinate timelines, and follow up with all parties (buyers, sellers, attorneys, lenders, title companies)
- Research mortgage companies, attorneys, and other parties involved in transactions
- Obtain authorization letters, payoff statements, and other required documents
- Input and manage listings in the MLS
- Track all active transactions from contract to close
Database & Client Communication
- Manage a database of 14,000+ contacts in Tampa Bay and 7,000+ in Los Angeles
- Send outbound text and email campaigns
- Respond to and organize incoming leads
- Keep the CRM updated and contacts on follow-up plans
Marketing & Online Presence
- Write and publish blog content to grow our online presence
- Manage and update our website
- Create and schedule social media content
- Send email newsletters and marketing communications
- Execute activities that generate inbound leads and new opportunities for the owner to engage with
What We're Looking For
- Fluent in English — written and spoken
- Highly organized with strong attention to detail
- Self-starter who can manage multiple tasks without constant supervision
- Tech-savvy and comfortable learning new tools quickly
- Available during U.S. Eastern Time Zone business hours
- CRM, email platform, or website experience is a plus but not required
Compensation & Growth
- Base Pay: $800/month
- Transaction Bonus: $50 per closed transaction
- Growth: As the business grows, your role and compensation grow with it. We're looking for a long-term partner, not a short-term hire.
Job Responsibilities
Transaction & Operations Management

- Manage 21,000+ contacts across Tampa Bay and Los Angeles databases
- Send outbound text and email campaigns
- Respond to and organize incoming leads
- Keep CRM updated and contacts on follow-up plans
Marketing & Online Presence
- Write and publish blog content
- Manage and update the website
- Create and schedule social media content
- Send email newsletters and marketing communications
- Execute lead generation activities that drive inbound traffic and opportunities
General Operations
- Implement the owner's vision and business plan on a daily basis
- Handle miscellaneous research and administrative tasks as needed
- Communicate professionally with clients in writing when required
- Manage schedules, deadlines, and task priorities across all active projects
