 Role Overview

We’re looking for an Operations Manager who can bring order, speed, and accountability to our growing company. 

This role owns the end-to-end operational engine—from lead intake → qualification → pipeline movement → closing → post-sale tracking. You will work directly with leadership to build, optimize, and scale systems across CRM, sales workflows, vendor coordination, and deal execution.

Job Responsibilities

What This Role Is Really About

This is not just “managing tasks.” This is:

  • Fixing bottlenecks before they become problems 
  • Driving deals forward when others stall 
  • Building systems that reduce chaos and increase conversion 
  • Holding the team accountable to performance metrics 

 If something breaks—you own the solution.

Core Responsibilities

1. Deal Flow & Pipeline Management

  •  Own seller and buyer pipelines inside CRM (Nutshell or Zoho or equivalent) 
  • Ensure every lead moves through defined stages (Cold → Warm → Hot → Contract → Closed) 
  • Track and improve conversion rates at each stage
  • Identify and remove bottlenecks in deal flow 

 

 2. CRM & Systems Optimization

  • Manage and optimize CRM workflows, automations, and integrations 
  • Ensure all inbound leads (website, forms, calls, campaigns) are captured and  routed correctly 
  • Build dashboards for: 
  • Lead volume 
  • Conversion  rates 
  • Deal velocity 
  • Revenue tracking 

  

3. Transaction Coordination & Execution

  • Oversee deals from contract to close 
  • Coordinate with: 
  • Realtors
  • Title  & escrow companies 
  • Buyers and sellers 
  • Internal sales team 
  •     Ensure  timelines are met and issues are resolved quickly 

4. Team Accountability & Performance

  • Team Management
  • Track daily/weekly KPIs for sales and operations 
  • Ensure speed-to-lead and follow-up standards are met 
  • Identify underperformance early and implement corrective actions 

 

 5. Vendor & Partner Management

  •  Manage  relationships with: 
  •  Realtors
  • Title  companies (e.g., First American, etc.) Data providers 
  • Marketing  vendors 
  • Technology Teams
  •   Ensure  service quality, timelines, and cost efficiency 

6. Process Building & Documentation

  •  Create SOPs for: 
  • Lead handling 
  • Deal processing 
  • Customer communication 
  •      Continuously improve processes for scalability 

7. Customer Experience Oversight

  • Ensure sellers and buyers receive: 
  • Clear communication 
  • Fast responses 
  • Transparent processes 
  • Resolve escalations professionally and efficiently 

8 Key Metrics You Own

  •  Lead  → Offer conversion rate 
  • Offer → Contract conversion rate 
  • Contract → Close rate 
  • Average days to close 
  • Speed to lead (response time) 
  • Pipeline value & deal velocity 

 


Job Requirements

Experience

  •  3–7+  years in operations, real estate
  • Experience with CRM systems (Zoho preferred, Salesforce/HubSpot acceptable)
  • Strong understanding of sales pipelines and deal management
