Full Job Description

We are a residential real estate company in Houston, TX with over 20 years in business, seeking a reliable and organized Virtual Admin Assistant to support office operations and broker priorities. This role supports daily administrative functions, transactions, scheduling, and lead coverage. The ideal candidate is dependable, detail oriented, comfortable on the phone, and able to work independently in a structured, remote environment. Some tasks are routine, others require initiative and follow-through. Strong communication skills, reliable internet, and comfort working on Zoom are required.


Job Responsibilities

  • Provide administrative and operational support for the real estate office and team
  • Support transaction coordination from contract to close, ensuring deadlines and documents are tracked
  • Manage property listings, including MLS input, updates, and accuracy
  • Answer and manage phone calls professionally using remote systems
  • Communicate with clients, agents, lenders, and vendors as needed
  • Coordinate scheduling for inspections, showings, meetings, and appointments
  • Provide administrative and scheduling support to the Broker as part of overall office operations
  • Monitor incoming leads and support follow-up efforts to ensure no leads are missed
  • Maintain CRM systems, digital files, and internal records
  • Submit daily activity logs and End-of-Day (EOD) reports
  • Take initiative to identify tasks and improvements that support team efficiency


Job Requirements

  • Strong organization and time-management skills
  • Comfortable working on Zoom most of the day
  • Confident phone presence with clear communication skills
  • Fast learner who can follow systems and also think independently
  • Reliable high-speed internet suitable for voice and video calls
  • Real estate experience (preferred but not required)
  • Bilingual (English/Spanish)
  • Experience with CRMs, MLS systems, or transaction management software
  • Strong problem-solving mindset and resourcefulness
