We are seeking a highly organized and detail-oriented Transaction Coordinator to join our real estate wholesale team.The ideal candidate will be responsible for managing and streamlining the entire transaction process from contract to closing, ensuring that all documents, deadlines, and communications between sellers, buyers, and title companies are handled efficiently and professionally.This role requires excellent communication skills, strong organizational abilities, and a solid understanding of real estate wholesale operations.Candidates must have proven experience in the Florida real estate market, with a deep understanding of local procedures, regulations, and industry practices.
Contract & Documentation ManagementReview all Purchase & Sale Agreements (PSA) and Assignment Contracts for completeness and accuracy.Ensure all required signatures, initials, and dates are properly executed.Maintain organized digital files for each transaction using the company’s CRM or cloud system (e.g., Podio, REsimpli, Airtable, or Google Drive).Prepare and send Assignment of Contract documents to end buyers for review and signature.Communication & CoordinationServe as the main point of contact between sellers, buyers, title companies, and attorneys throughout the closing process.Provide regular transaction updates to all parties.Confirm that all required information (title documents, identification, wire details, etc.) is received on time.Coordinate scheduling of inspections, appraisals, and closings.Title & Closing SupportSubmit contracts to the title company immediately after execution.Follow up on title searches and assist in clearing any title issues.Review HUD-1 / Settlement Statements to ensure accuracy and verify that the assignment fee or wholesale fee is properly reflected.Coordinate all necessary closing documents and confirm delivery of executed copies.Transaction Tracking & ReportingMonitor critical deadlines such as inspection, financing, contingencies, and closing dates.Maintain accurate transaction pipelines and update CRM status fields daily.Report transaction progress and issues to management in a timely manner.Prepare post-closing summaries and ensure all documentation is properly archived.Customer Service & ProfessionalismEnsure all interactions with clients, title agents, and investors are professional and courteous.Resolve minor issues independently and escalate complex problems to management.Maintain confidentiality of all transaction and client information.
Education & ExperienceMinimum 2+ years of experience in real estate transaction coordination, preferably in wholesale or investment real estate.Familiarity with real estate contracts, assignment deals, and title/escrow procedures.High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business, Real Estate, or a related field is preferred.Knowledge & SkillsStrong understanding of the real estate wholesale process, including assignments and double closings.Knowledge of Purchase & Sale Agreements (PSA), Assignment of Contract, and HUD/Settlement Statements.Exceptional organizational and time management skills — able to manage multiple transactions simultaneously.Strong attention to detail and accuracy in document handling.Excellent written and verbal communication skills in English (Spanish bilingual ability is a plus).Proficiency in:CRM systems (Podio, REsimpli, InvestorFuse, Airtable, or similar)Digital signature tools (DocuSign, Dotloop)Google Workspace / Microsoft Office SuitePersonal AttributesSelf-motivated, proactive, and resourceful — able to work independently with minimal supervision.Problem-solver with a positive attitude and ability to handle high-volume workflow.Comfortable working in a fast-paced, deadline-driven environment.Demonstrates integrity, professionalism, and confidentiality in all dealings.Strong customer service orientation — focused on smooth and timely closings.Other RequirementsReliable internet connection and professional home office setup (remote position).Availability to communicate during standard U.S. business hours (EST or CST preferred).Ability to adapt to changing systems and procedures as the company scales.Submit your application along with:A short video introduction (or sales call sample)Your most recent internet speed test (Ookla)
