ABOUT THE ROLE
We are a US-based bookkeeping firm serving small and medium-sized businesses across multiple industries. We're hiring a highly skilled bookkeeper who genuinely understands US accounting standards, tax laws, and the expectations of American business owners — not just someone who knows the software. You will work directly with our clients' books and be a trusted extension of our team.
JOB DUTIES
Manage full-cycle bookkeeping for multiple US clients using QuickBooks Online and/or Xero
Reconcile bank accounts, credit cards, loans, and merchant accounts (Stripe, PayPal, Square, etc.) monthly
Categorize transactions accurately in accordance with US GAAP and client COAs
Prepare clean financial statements — P&L, Balance Sheet, and Cash Flow — ready for CPA review or tax filing
Manage accounts payable and accounts receivable, including aging reports
Process payroll journal entries and reconcile payroll liabilities (federal and state withholding, FICA, FUTA, SUTA)Track sales tax obligations across multiple states and assist with preparation for filing
Assist with 1099-NEC preparation and contractor tracking at year-end
Flag issues proactively and communicate clearly with the team lead and clients in writing
Maintain organized, audit-ready files for every client
KNOWLEDGE REQUIREMENTSUS
Bookkeeping Experience3+ years working directly with US-based clients or companies
QuickBooks Online Certified ProAdvisor certification strongly preferred
US Tax Knowledge
Solid understanding of 1099s, W-9s, payroll taxes, sales tax nexus
Accrual & Cash Accounting
Fluent in both methods and knows when each applies
Excel / Google Sheets
Comfortable building and working in complex spreadsheets
Strong written English
HIGHLY PREFERRED
Experience with QBO, Bill.com, Gusto, ADP, Familiarity with Schedule C, S-Corp, and LLC taxation structures
Experience supporting a US CPA firm or bookkeeping company (not just a single employer)Knowledge of Chart of Accounts setup and cleanup for new or messy clients
Bachelor's degree in Accounting, Finance, or a related field CPA board passer (even if not practicing) is a strong plus

WORK SETUP
Full-time, 40 hours/week — California Business hours Reliable high-speed internet is required (we will verify connection speed)Must have a dedicated workspace and computer with a working camera for weekly video calls
