About the Role : We are seeking a highly organized, patient-focused Remote Virtual Assistant to support front desk operations at a fast-growing aesthetic and primary care clinic. This role is essential in managing communication, patient experience, and lead conversion.Key Responsibilities📞 Patient Communication & Scheduling
Answer inbound calls and manage patient inquiries
Schedule, reschedule, and confirm appointments
Handle missed calls and voicemail follow-ups promptly
Provide accurate information on services, pricing, and promotions
💬 Social Media & Lead Management
Respond to Instagram, Facebook, and SMS inquiries in a timely manner
Convert leads into booked appointments
Track and follow up with warm and cold leads
Maintain CRM updates and patient notes
📈 Patient Retention & Follow-Up
Perform follow-up calls after treatments
Re-engage inactive patients
Assist with membership retention and promotions
Support review requests and patient satisfaction outreach
🗂️ Administrative Support
Maintain accurate patient records
Verify and collect required documentation
Coordinate with in-office team for daily schedules and updates
Qualifications
Required:
Experience working in a med spa, aesthetic clinic, or healthcare setting
Strong phone communication and sales skills
Familiarity with CRM/EMR systems (e.g., PatientNow preferred)
Knowledge of HIPAA compliance and patient confidentiality
Excellent English and Spanish .
Preferred:
Experience in aesthetic services (Botox, fillers, laser, etc.)
Medical insurance verification experience
Social media messaging/customer service experience
Sales or lead conversion background

Compensation
Competitive hourly rate (based on experience)
